Role Description The Executive Secretary will provide high-level administrative and organizational support to senior leadership at IAN Institute of Rehabilitation & Research. This full-time, on-site role is based in Thrissur and involves managing calendars, scheduling appointments, coordinating meetings, and maintaining records and documentation. The role includes preparing correspondence, reports, and presentations, handling phone calls and inquiries, and ensuring professional communication with patients, families, staff, and external partners. The Executive Secretary will also oversee filing systems, assist with basic company secretarial tasks, support office operations, and help coordinate internal events, reviews, and departmental activities. The position requires a discreet and organized professional who can prioritize tasks, maintain confidentiality, and support an efficient and patient-focused environment.
Qualifications
- Strong clerical skills, including document preparation, filing, data entry, and office organization.
- Excellent communication and customer service skills to interact effectively with patients, families, visitors, and internal teams.
- Experience in executive administrative assistance, including calendar management, meeting coordination, and travel or logistics support.
- Familiarity with basic company secretarial work, such as maintaining records, preparing standard documentation, and supporting compliance-related documentation.
- Proficiency in standard office software (e.g., word processing, spreadsheets, email, presentation tools) and comfort with learning new systems.
- Strong attention to detail, time management, and organizational abilities, with the capacity to handle multiple tasks and deadlines.
- Ability to maintain confidentiality, demonstrate professionalism, and work collaboratively in a healthcare and rehabilitation setting.
- Preferred: Prior experience in a hospital, clinic, or healthcare administration environment; diploma or degree in Administration, Management, or a related field.
