Core Responsibilities
- Manage and maintain Director's calendar, appointments, and meeting schedules.
- Coordinate internal and external meetings, ensuring timely preparation of agendas, documents and presentations.
- Draft and prepare professional emails, letters, reports and presentations for the Director.
- Ensure timely follow-upon action items and key deliverables from meetings.
- Handle sensitive corporate information with strict discretion.
- Sales report compilation.
- Mail tracking.
- Purchase order follow-ups.
- Arrange detailed domestic and international travel itineraries, flights and accommodations.
Qualifications
- Candidates should possess strong clerical skills, including document management, data entry, and office organization.
- Candidates should possess excellent communication abilities, including clear written and verbal communication and professional email and phone etiquette.
- Candidates should possess knowledge of company secretarial work, such as preparing minutes, maintaining statutory records, and supporting compliance-related documentation.
- Candidates should possess executive administrative assistance capabilities, including calendar management, meeting coordination, travel planning, and preparation of reports and presentations.
- Candidates should possess customer service skills, with the ability to handle inquiries, support clients, and coordinate with internal and external stakeholders.
- Proficiency in MS Office (Word, Excel, PowerPoint, Outlook) and familiarity with office management software or ERP systems is beneficial.
- Strong organizational skills, attention to detail, time management, and the ability to prioritize multiple tasks effectively.
- Bachelor's degree in business administration, Commerce, or a related field.
- 4-6 Years of experience in an executive assistant or executive secretary role, preferably in engineering or infrastructure sectors.
