MANGO STATIONERY PVT LTD — OPEN ROLE
Executive Assistant to the Founder
◆ Mumbai, India ◆ Full-Time · In-Person ◆ Immediate Joining ◆ Fresher–3 Yrs Exp
ABOUT THE COMPANY
We're not just a stationery brand.
We're building India's most loved creative-lifestyle retail experience.
Mango Stationery is an omnichannel retail and B2B company operating 3 stores, an online Shopify store, and an active corporate gifting vertical. We carry some of the world's finest writing instruments — Kaweco, Pilot, Cross, Montblanc — and are in an active phase of scaling, launching new private-label brands, and reshaping how stationery is experienced in India.
We move fast. We're ambitious. And we hold ourselves to a high standard.
THE ROLE
The Founder's right hand — and eventually, a lot more.
This is not a traditional secretary role. You will work directly with the Founder, who manages marketing, brand, B2B, operations, and multiple side ventures simultaneously. You'll be the person who makes sure nothing falls through the cracks — across vendors, clients, teams, content pipelines, and calendars. If you're someone who finds satisfaction in order, follow-through, and getting things done without being told twice, this role was written for you.
WHAT YOU'LL DO
Your day-to-day will look different — every day.
· Own the Founder's calendar, task lists, and follow-up pipeline — proactively, not reactively
· Track open loops across vendors, clients, team members, and external agencies; chase for closure
· Draft and manage communication on WhatsApp, email, and internal tools on the Founder's behalf
· Coordinate between store teams, B2B clients, logistics partners, and marketing vendors
· Assist in executing marketing campaigns — collating assets, coordinating shoots, following up on deliverables
· Prepare briefs, meeting notes, summaries, and simple reports as required
· Handle ad-hoc research tasks — competitor scans, vendor shortlists, product lookups
· Manage operational errands and vendor coordination for the business and side ventures
· Maintain trackers, documentation, and SOPs as the business scales
· Gradually take on more ownership as trust is built — this role has a real growth ceiling if you earn it
WHO YOU ARE
Skills can be taught. These can't.
Follow-through is non-negotiable
You close loops. You don't let things die in inboxes. You remind before being reminded.
You take ownership
Once a task is yours, you run with it. You don't wait to be micromanaged.
Communication is your superpower
Clear, concise, professional — whether it's a WhatsApp message or a formal email.
You're disciplined
Punctual. Organised. You create structure even in chaotic situations.
Tech is not intimidating
Google Sheets, Notion, WhatsApp Business, basic Canva — you pick up tools fast.
Hungry to learn and grow
You're early in your career and you want to be built up. You absorb fast and ask smart questions.
REQUIREMENTS
The baseline
· Graduate in any discipline (Business, Mass Comm, BMS, BAF, or similar preferred)
· 0–3 years of work experience; prior EA or ops experience is a plus, not a must
· Proficient in written English and Hindi; Marathi is a bonus
· Comfortable with Google Workspace (Docs, Sheets, Drive, Calendar)
· Based in Mumbai; able to travel between store locations as needed
· Available to join within 2–3 weeks
WHAT'S IN IT FOR YOU
More than a job title.
· A front-row seat to how a founder builds and scales a multi-vertical business
· Exposure across retail, brand, B2B, content, and operations — simultaneously
· Direct mentorship from the Founder — if you perform, your growth is accelerated
· A genuinely interesting product world — luxury pens, stationery, gifting, and emerging lifestyle brands
· Competitive compensation based on experience and fit
PRE-INTERVIEW ASSIGNMENT
Show us how you think before we meet.
Before scheduling an interview, all shortlisted candidates will be asked to complete this task. There are no right or wrong answers — we're looking at how you approach things, not just what you produce. Time expected: 60–90 minutes.
TASK 01 / 04
The Follow-Up Scenario
You are the EA to the Founder of a premium stationery brand. A vendor who was supposed to deliver product samples for a corporate gifting pitch (happening in 3 days) hasn't responded to two previous WhatsApp messages sent 4 days ago and 2 days ago.
Write:
· A WhatsApp follow-up message (firm but professional)
· A formal email as a backup escalation
· A 3-line note to the Founder explaining the situation and what you've done
Evaluates: Written communication · Ownership · Pressure handling
TASK 02 / 04
Organise the Chaos
Below is a messy list of things the Founder mentioned in a 10-minute voice note on Monday morning. Your job is to:
· Convert it into a clean, prioritised task list for the week
· Assign rough owners (Founder / You / External)
· Flag what needs to happen today vs. this week vs. can wait
...call the Worli store manager, she had some issue with the POS system... also I need someone to draft a proposal for that school that inquired about bulk notebooks last week... oh and remind me — I had a lunch on Thursday, confirm that... the Shopify homepage needs to go live before the weekend, check with the agency... also get me three quotes for gift box packaging, not too expensive... and I think we owe the Andheri store a salary advance, check with accounts... yeah and I need a deck ready for the investor call next Wednesday, rough draft is fine...
Evaluates: Prioritisation · Clarity · Operational thinking
TASK 03 / 04
Research Sprint
We're exploring the idea of sending a curated welcome-to-the-team stationery kit to new joinees at mid-to-large corporates in Mumbai as part of our B2B gifting pitch.
In under 45 minutes, find and send us:
· 5 companies (with LinkedIn/email) that have hired 50+ people in Mumbai in the last 3 months (any sector)
· The name and designation of the right person to reach out to at each (HR head, Admin head, etc.)
· A one-line pitch you'd use to open the conversation on WhatsApp or email
Evaluates: Research ability · Resourcefulness · Instinct for business
TASK 04 / 04
Tell Us About You
No resume fluff. Answer these three questions in plain language (50–100 words each):
· What's the most chaotic situation you've had to manage, and what did you do
· What does taking ownership mean to you — give a real example.
· Why do you want to work directly with a founder at this stage of your career
Evaluates: Self-awareness · Communication · Cultural fit
How to Apply
