Job Overview
We are looking for a highly organized, get-it-done person to manage the daily lives and household operations of senior leaders. This is a high-trust role where you will handle everything from scheduling and travel to managing home repairs and domestic staff. The ideal candidate should have proactive problem-solving skills with the poise required to navigate high-pressure environments without constant supervision.
Key Responsibilities:
1. Personal & Executive Support
- Calendar Management: Keep track of all appointments and personal commitments so nothing falls through the cracks.
- Travel Planning: Book flights, hotels, visas, and cars. Make sure every trip is stress-free from start to finish.
- Admin & Records: Keep personal documents, files, and records organized and easy to find.
- Events: Help plan and run events as needed .
2. Running the Household
- Daily Operations: Make sure the home runs smoothly. Supervise any household staff (cleaners, drivers, etc.).
- Maintenance: Schedule repairs and regular service for the home and cars. Make sure the work actually gets done.
3. Vendor Management
- Finding Help: Find and hire the best vendors like plumbers, electricians, or service providers.
- Negotiation: Get fair pricing and make sure service agreements are clear.
- Quality Check: Ensure vendors show up on time and do high-quality work.
4. Organization & Privacy
- Create Systems: Set up simple how-to guides for recurring tasks so the work is consistent.
- Digital Tools: Use apps like Google Sheets, or WhatsApp to track tasks and report progress.
- Confidentiality: Keep all personal and financial information 100% private and secure.
Requirements:
- Experience: Previous experience as a Personal Assistant, House Manager, or in a similar high-level support role.
- Tech Savvy: Comfortable using Excel/Google Sheets and organization apps.
- Problem Solver: You don't wait for instructions when you see something needs fixing.
- Reliable: You are the person everyone can count on to show up and deliver.
