Role Purpose
The Executive Assistant will serve as the single point of contact (SPOC) for the Chairman's office, ensuring seamless management of administrative, communication, and coordination responsibilities. The role will enable the Chairman's effectiveness by proactively managing schedules, priorities, stakeholder engagements, follow-ups, and documentation, while maintaining confidentiality and ensuring timely execution of key actions across internal and external interfaces.

Calendar & Priority Management
Own and manage the Chairman's calendar, including appointments, meetings, events, and travel schedules.
Plan the day and week as per business priorities optimize the Chairman's time through proactive scheduling.
Coordinate meeting invitations, align attendees, and ensure all meetings run as scheduled.

Communication & Correspondence
Streamline and manage email communications: screen, prioritize, draft, and respond to high-priority emails.
Draft professional communication including emails, letters, internal notes, and official correspondence.
Ensure timely dissemination of information, reminders, follow-ups, and escalations on pending matters.

Meeting Coordination & Minutes
Schedule and coordinate meetings for the Chairman's office and leadership stakeholders.
Prepare meeting agenda, circulate pre-reads and meeting packs where required.
Record key discussion points and decisions prepare Minutes of Meeting (MoM) and circulate action items promptly

Follow-up & Action Tracking
Maintain a structured action tracker/dashboard for all Chairman-led discussions and follow-ups.
Ensure closure of action points by regularly coordinating with internal teams and relevant stakeholders.
5 Documentation & Confidential Records
Maintain organized records, files, and confidential documents with utmost discretion and security.

Business Reporting & Presentation Support
Consolidate business reports and MIS inputs from different functions.
Prepare presentations, executive summaries, dashboards, and review decks for Chairman's Office requirements.

Travel & Logistics Coordination
Coordinate end-to-end travel arrangements: itinerary planning, bookings, confirmations, local conveyance and stay coordination.
Liaise with agencies/vendors to ensure smooth travel and logistics management.
