We are seeking a dynamic, technology-savvy & highly organized individual as the Executive Assistant to the Chief AI Officer. This role is designed as a leadership development springboard for high-potential management graduates, offering unparalleled exposure to C-suite decision-making and AI strategy.
Full-time role based in Pune. Open to candidates across India willing to relocate; Pune-based applicants preferred.
Key Responsibilities
Calendar & Email Management
- Manage and optimize the CAIO's calendar, ensuring seamless coordination of internal and external commitments
- Screen and manage email inbox, drafting responses to routine inquiries for CAIO approval
- Coordinate responses across multiple communication channels (LinkedIn, email, etc.)
- Maintain organized email folders and ensure timely follow-ups
Digital Presence & Relationship Management
- Manage the CAIO's LinkedIn presence, including screening messages and identifying networking opportunities
- Build and maintain a comprehensive CRM system tracking all professional relationships, past interactions, and future opportunities
- Proactively reconnect with contacts based on travel schedules (e.g., reaching out to past connections when CAIO visits their city)
- Ensure no valuable relationship or opportunity falls through the cracks
Travel & Logistics Coordination
- Create and maintain detailed travel itineraries with complete logistics planning
- Coordinate visa applications and documentation well in advance
- Optimize travel schedules to incorporate strategic meetings and networking opportunities
- Link travel plans with relationship management to maximize networking during trips
Meeting Support & Documentation
- Attend routine internal meetings (HR, administrative, operational) on behalf of the CAIO
- Participate in vendor meetings and initial screening calls
- Prepare comprehensive meeting summaries with clear action items
- Manage follow-ups and ensure completion of action items
Research & Administrative Support
- Compile briefing materials on organizations and individuals before meetings
- Identify and implement process improvements to optimize efficiency within the CAIO's office
- Ensure all activities adhere to company policies and industry regulations
Event & Stakeholder Coordination
- Plan and organize internal events, workshops, and team meetings
- Build and maintain relationships with internal teams and external partners
- Coordinate with various stakeholders to ensure smooth execution of CAIO office initiatives
- Support the communication of CAIO office goals and vision to relevant stakeholders
Strategic Exposure & Learning Opportunities:
- Shadow the CAIO in meetings and strategic planning sessions
- Contribute to AI strategy presentations and white papers
- Conduct market research and competitive analysis for strategic initiatives
- Interface with portfolio companies, investors, and industry leaders
- Get exposure to M&A discussions, partnership negotiations, and product strategy
Ideal Candidate Profile
- Bachelor's degree required; MBA with Engineering background [preferred but not mandatory]
- Fresh graduates with exceptional organizational skills are welcome
- Excellent written and verbal communication skills
- Proficiency in Microsoft Office, CRM systems, and calendar management tools
- Detail-oriented with ability to manage multiple priorities simultaneously
- Proactive mindset with strong problem-solving abilities
- Outgoing personality with a passion for building relationships and strong analytical mindset
