- Provide comprehensive administrative support to the Director, including managing calendars, scheduling meetings, and coordinating travel arrangements.
- Prepare and edit correspondence, reports, presentations, and other documents as needed.
- Manage phone calls, emails, and other forms of communication, prioritizing and responding as appropriate.
- Handle confidential information with discretion and professionalism.
Meeting Coordination
- Schedule and coordinate internal and external meetings, ensuring all necessary materials and logistics are arranged.
- Take meeting minutes and follow up on action items as required.
- Ensure the Director is prepared for meetings, including the preparation of relevant documentation and agendas.
Project Management
- Assist in the coordination of special projects and initiatives, providing support to the Director as needed.
- Track the progress of ongoing projects, ensuring deadlines are met and deliverables are achieved.
- Coordinate with cross-functional teams to ensure smooth execution of projects.
Travel And Event Management
- Organize and coordinate domestic and international travel arrangements, including transportation, accommodations, and itineraries.
- Assist in organizing events, conferences, and other gatherings on behalf of the Director.
Expense Management
- Track and submit expenses for approval, ensuring compliance with company policies and procedures.
- Prepare reports on expenses and provide summaries to the Director as needed.
Liaison And Communication
- Act as the primary point of contact between the Director and internal/external stakeholders, including employees, clients, and vendors.
