Job Description

Key Responsibilities:

  • Administrative Support:
  • Manage the MD's calendar, schedule meetings, and coordinate travel plans and logistics.
  • Handle confidential correspondence, reports, and presentations on behalf of the MD.
  • Organize and maintain executive files, documents, and records with discretion.
  • Operational Coordination:
  • Act as the primary point of contact between the MD and internal/external stakeholders.
  • Coordinate and follow up on key action items discussed in leadership meetings.
  • Track ongoing projects, ensure timely delivery, and escalate issues as needed.
  • Meeting & Communication Management:
  • Prepare agendas, take minutes, and circulate summaries of meetings chaired by the MD.
  • Draft emails, reports, and communication materials as per MD's instructions.
  • Liaise with senior leadership, clients, and partners as a representative of the MD's office.
  • Strategic Involvement:
  • Assist in the research and preparation of documents, briefing papers, and reports.
  • Support the MD in planning and executing strategic initiatives.
  • Coordinate cross-functional communication and reporting on behalf of the MD.
  • Event & Engagement Planning:
  • Assist in planning business events, board meetings, and corporate engagements.
  • Manage internal communication for key initiatives led by the MD.

Qualifications & Skills:

  • Bachelor's degree in Business Administration, Management, or related field (MBA preferred).
  • 5–8 years of experience as an Executive Assistant or in a similar strategic coordination role.
  • Exceptional organizational and time-management skills.
  • Strong communication (verbal and written) and interpersonal abilities.
  • Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook); familiarity with tools like Trello, Notion, or CRM is a plus.
  • High level of professionalism, integrity, and discretion in handling confidential information.
  • Ability to multitask, prioritize, and perform under pressure in a fast-paced environment.

Preferred Attributes:

  • Experience in supporting C-level executives.
  • Prior exposure to board-level communications or investor relations is an advantage.
  • Calm, composed, and adaptable personality with a problem-solving attitude.
