Position Overview
We are seeking a highly organized and proactive Executive Assistant to support the Managing Director in day-to-day operations, coordination, communication, and administrative management. The ideal candidate should possess excellent follow-up skills, strong coordination abilities, and the capability to manage multiple responsibilities efficiently while maintaining confidentiality and professionalism.
Role Description
This is a full-time, on-site role based in Okhla, New Delhi
Key Responsibilities
Meeting Management
- Schedule, organize, and coordinate internal and external meetings.
- Prepare, record, and circulate Minutes of Meetings (MoMs).
- Track all discussion points, decisions, and action items.
- Ensure timely completion and closure of meeting deliverables.
Task & Follow-Up Management
- Maintain and monitor a comprehensive tracker of tasks assigned by Ma'am to teams and individuals.
- Follow up regularly with concerned departments regarding deadlines and progress updates.
- Provide timely status reports and updates to Ma'am.
- Ensure delegated tasks are completed within agreed timelines.
Team Coordination
- Act as a communication bridge between the Managing Director and various departments.
- Facilitate smooth coordination and collaboration across teams.
- Assist in resolving operational and coordination-related queries.
- Monitor team and departmental performance and provide regular updates.
Office & Administrative Management
- Oversee daily office operations to ensure smooth workflow and efficiency.
- Support administrative activities and maintain operational discipline within the office.
Vendor Coordination
- Manage communication and coordination with vendors and service providers.
- Ensure timely delivery of products and services as per requirements.
- Coordinate processing and approval of vendor agreements and payments.
- Monitor vendor performance and maintain professional relationships.
Departmental Analysis & Reporting
- Review departmental functioning, workflow, and productivity.
- Analyze performance and prepare reports for management review.
- Suggest improvements for operational efficiency wherever required.
Miscellaneous Responsiblities
- Handle additional responsibilities and assignments as directed by Ma'am & Sir.
- Maintain a high level of confidentiality, professionalism, and integrity at all times.

Preferred Qualifications
