About the Role
We are seeking a highly organized, proactive, and professional Executive Assistant to provide comprehensive support to the Managing Director. The ideal candidate should possess strong coordination, communication, analytical, and project management skills. Preference will be given to candidates with an Engineering background, enabling them to effectively understand technical discussions, support project reviews, analyze operational data, and coordinate with cross-functional teams. The role requires exceptional attention to detail, confidentiality, the ability to manage multiple priorities, and a commitment to ensuring seamless execution of the MD's business and operational activities.
Responsibilities
Executive Support & Calendar Management
- Manage the MD's calendar, appointments, meetings, and business commitments.
- Prioritize schedules and optimize time utilization to ensure maximum productivity.
- Coordinate internal and external meetings, reviews, and business discussions.
- Ensure all relevant documents, presentations, reports, and meeting materials are prepared in advance.
- Track key deadlines, commitments, and follow-ups on behalf of the MD.
Communication & Correspondence
- Manage incoming communications, including emails, calls, and correspondence.
- Draft, review, and proofread business communications, reports, presentations, and official documents.
- Serve as a communication bridge between the MD and internal/external stakeholders.
- Ensure timely responses and follow-up on critical matters.
Meeting Management & Governance
- Organize and coordinate management reviews, business meetings, and customer discussions.
- Prepare agendas, circulate meeting materials, and record minutes of meetings (MoM).
- Track action items and ensure timely closure through regular follow-ups.
- Support preparation of management reports and business review presentations.
Project Coordination & Business Analysis
- Assist the MD in monitoring strategic initiatives, operational projects, and business objectives.
- Coordinate with departments to gather updates and monitor project progress.
- Analyze business, operational, and financial data to support decision-making.
- Prepare dashboards, MIS reports, and performance summaries.
- Support continuous improvement and special projects assigned by the MD.
Travel & Logistics Management
- Plan and coordinate domestic and international travel arrangements.
- Manage flight bookings, accommodation, local transportation, and travel itineraries.
- Ensure smooth execution of business travel schedules and related logistics.
Stakeholder & Relationship Management
- Coordinate with customers, vendors, business partners, and internal stakeholders on behalf of the MD.
- Maintain professional relationships and ensure timely communication.
- Support business development activities through coordination and follow-up where required.
Confidentiality & Information Management
- Handle highly sensitive and confidential business information with utmost discretion.
- Maintain organized records, reports, and documentation.
- Ensure confidentiality of strategic, financial, operational, and personnel-related information.
Technical & Operational Support
- Assist in reviewing technical reports, project updates, and operational performance data.
- Support preparation of technical presentations and business proposals.
- Coordinate with all stakeholders to gather information and track deliverables.
- Candidates with engineering knowledge will be able to provide additional support in technical discussions and project reviews.
Special Assignments
- Conduct market, customer, competitor, and industry research as directed.
- Support special business initiatives and strategic projects.
- Assist with personal and administrative responsibilities of the MD when required.
Qualifications
- Bachelor's Degree in Engineering (preferred), Business Administration, Management, or a related discipline.
- MBA or equivalent qualification will be an added advantage.
Experience
- 8 -10 years of experience as an Executive Assistant, Management Coordinator, Project Coordinator, or similar role supporting senior leadership.
- Experience working in manufacturing, engineering, quality, automotive, industrial services, or related sectors will be preferred.
Required Skills
- Advanced proficiency in Microsoft Excel, PowerPoint, Word, and Outlook.
- Strong data analysis, reporting, and presentation preparation skills.
- Ability to prepare dashboards, MIS reports, and management presentations.
- Familiarity with project tracking and coordination tools.
- Flexibility and willingness to travel as required, to support business meetings, customer engagements, leadership reviews, and strategic initiatives.
