Job Description

Role- Executive Assistant (EA) to the Managing Director

Experience- 3 to 5 Years

Salary-5.00 to 6.00 LPA

Job Location- Lower Parel, Mumbai

About the company- Our client is a pharmaceutical company based in Mumbai, India, that has been active since 2003. It specializes in the development, manufacturing, and marketing of dermatology and skincare products used by consumers and professionals. The company works with a range of skincare brands and formulations, including moisturizers, cleansers, antihistamine tablets for skin allergies, and antifungal products aimed at helping people with different skin concerns.

Currently our client is engaged in marketing around 25 DERMA BRANDS with PAN INDIA operations.

Role Overview

They are looking for a highly organized and dependable Executive Assistant to the Managing Director who will provide comprehensive administrative and coordination support. The ideal candidate must demonstrate exceptional follow-up skills, strong ownership, and the ability to manage confidential matters with integrity.

Key Responsibilities

  • Manage and coordinate the Managing Director's calendar, appointments, and meetings
  • Ensure timely follow-ups on tasks, commitments, and deliverables
  • Prepare reports, presentations, and MIS using MS Office (especially Excel & Word)
  • Draft professional emails, letters, and internal/external communication
  • Coordinate with internal departments and external stakeholders
  • Maintain records, documentation, and confidential files
  • Arrange travel, accommodation, and logistics as required
  • Assist with both official and personal tasks of the Managing Director when required
  • Ensure smooth day-to-day administrative functioning

Required Skill Set

  • Excellent follow-up skills (Mandatory and non-negotiable)
  • Strong coordination and administrative abilities
  • Working knowledge of MS Office (Excel & Word)
  • Good command over English (verbal & written)
  • Shorthand preferred
  • High level of honesty, integrity, and confidentiality
  • Strong organizational and time management skills

Other Preferences

  • 3–5 years experience as Executive Assistant / Secretary to MD / Senior Leadership
  • Candidates with stable job history (no frequent job changes)
  • Preferably married, with family responsibilities
  • Residence within 45 minutes commuting distance from office
  • Open to handling personal assignments of the Managing Director
