Executive Assistant to Managing Director

Role & Responsibilities

  • Manage the Managing Director's calendar end-to-end: prioritize meetings, resolve conflicts, and prepare daily agendas to optimise their time.
  • Coordinate travel logistics and domestic/international itineraries, including visas, accommodations, ground transport, and consolidated expense reporting.
  • Act as the gatekeeper for communications: screen calls and emails, draft high-quality correspondence, and escalate items requiring leadership attention.
  • Prepare and maintain briefing materials, presentation decks, meeting minutes, and follow-up action trackers for leadership and board interactions.
  • Liaise with internal teams and external stakeholders (investors, partners, vendors) to schedule meetings, manage stakeholder expectations, and ensure timely deliverables.
  • Maintain strict confidentiality of sensitive information and implement efficient administrative systems to improve executive productivity.

Skills & Qualifications

Must-Have

  • Proven experience supporting C-level or Managing Director-level executives in a corporate or tech environment.
  • Strong diary and stakeholder management skills with attention to prioritisation under tight timelines.
  • Excellent written communication and presentation-preparation capability for executive audiences.
  • High level of discretion, confidentiality, and professional judgement handling sensitive business matters.
  • Organised approach to travel coordination and expense reconciliation.
  • Comfortable working on-site in India and collaborating across time zones with distributed teams.

Preferred

  • Experience in a fast-growth technology, AI, or startup environment supporting investor/board interactions.
  • Familiarity with basic financial or contract document review to assist executive-level decision-making.
  • Prior exposure to investor relations, legal coordination, or office operations at senior management level.
