Job Summary
We are seeking a highly organized, proactive, and professional Executive Assistant to provide comprehensive administrative and executive support to the Managing Director. The ideal candidate will act as a trusted liaison, manage schedules, coordinate communications, and ensure smooth day-to-day operations of the MD's office.
Key ResponsibilitiesExecutive Support
- Manage and maintain the Managing Director's calendar, appointments, meetings, and travel schedules.
- Coordinate internal and external meetings, prepare agendas, and record minutes of meetings.
- Screen calls, emails, and correspondence, prioritizing responses as appropriate.
- Draft, review, and manage professional communications, presentations, and reports.
Coordination & Communication
- Act as a point of contact between the MD and internal/external stakeholders.
- Follow up on action items, deadlines, and commitments made by the MD.
- Coordinate with various departments to ensure timely execution of tasks and projects.
Administrative Management
- Maintain confidential records, documents, and files.
- Organize business travel arrangements, accommodation, and expense reports.
- Prepare MIS reports, presentations, and executive summaries as required.
- Assist in organizing company events, leadership meetings, and business reviews.
Project & Task Management
- Track ongoing projects and provide status updates to the MD.
- Ensure timely completion of assigned tasks and initiatives.
- Support strategic planning and business operations through research and data compilation.
Required Qualifications
- Bachelor's degree in Business Administration, Management, or a related field.
- 2–5 years of experience as an Executive Assistant, Personal Assistant, or similar role supporting senior leadership.
- Excellent verbal and written communication skills.
- Strong proficiency in MS Office (Excel, Word, PowerPoint, Outlook) and Google Workspace.
- Ability to handle confidential information with discretion.
- Strong organizational, multitasking, and time-management skills.
