Job Description

Job Summary

We are seeking a highly organized, proactive, and professional Executive Assistant to provide comprehensive administrative and executive support to the Managing Director. The ideal candidate will act as a trusted liaison, manage schedules, coordinate communications, and ensure smooth day-to-day operations of the MD's office.

Key ResponsibilitiesExecutive Support

  • Manage and maintain the Managing Director's calendar, appointments, meetings, and travel schedules.
  • Coordinate internal and external meetings, prepare agendas, and record minutes of meetings.
  • Screen calls, emails, and correspondence, prioritizing responses as appropriate.
  • Draft, review, and manage professional communications, presentations, and reports.

Coordination & Communication

  • Act as a point of contact between the MD and internal/external stakeholders.
  • Follow up on action items, deadlines, and commitments made by the MD.
  • Coordinate with various departments to ensure timely execution of tasks and projects.

Administrative Management

  • Maintain confidential records, documents, and files.
  • Organize business travel arrangements, accommodation, and expense reports.
  • Prepare MIS reports, presentations, and executive summaries as required.
  • Assist in organizing company events, leadership meetings, and business reviews.

Project & Task Management

  • Track ongoing projects and provide status updates to the MD.
  • Ensure timely completion of assigned tasks and initiatives.
  • Support strategic planning and business operations through research and data compilation.

Required Qualifications

  • Bachelor's degree in Business Administration, Management, or a related field.
  • 2–5 years of experience as an Executive Assistant, Personal Assistant, or similar role supporting senior leadership.
  • Excellent verbal and written communication skills.
  • Strong proficiency in MS Office (Excel, Word, PowerPoint, Outlook) and Google Workspace.
  • Ability to handle confidential information with discretion.
  • Strong organizational, multitasking, and time-management skills.
