Job Description

Responsibilities

  • Plan, schedule and coordinate appointments and meetings; provide reminders and proactively maintain the Managing Director's daily diary and weekly calendar.
  • Serve as a point of contact for select HNI & VIP customers; coordinate VIP reservations, outdoor catering and party orders, and related event logistics.
  • Receive, screen, prioritize and manage calls and emails; take messages and respond proactively based on the Managing Director's feedback and preferences.
  • Take dictation and draft clear correspondence, minutes, agendas, reports and presentations; edit and compile materials as required.
  • Organize and maintain physical and digital files and office records; preserve and safeguard confidential documents and data.
  • Arrange travel and accommodation (ticketing, hotel reservations, etc.) for the Managing Director and senior executives; coordinate logistics for outstation visitors according to preferences.
  • Conduct primary and secondary research and develop concise briefs, reports and presentations within agreed timelines.
  • Observe and record key discussions; derive action items and prepare follow-up plans, tracking progress and timelines.
  • Manage communications related to projects, new launches and other initiatives that fall under the Managing Director's purview.
  • Provide induction and training to select employees whose roles are directly or indirectly associated with the Managing Director's office.
  • Coordinate with domestic and international suppliers/vendors (e.g., China, Italy) for quotations, purchase orders, deliveries and payments; negotiate, compare quotes and execute purchases as directed.
  • Oversee coordination of maintenance, upkeep and repairs for corporate and outlet/store infrastructure on a case-by-case basis as directed by the Managing Director.
  • Act as liaison between the Managing Director and internal teams; track delegated work plans and monitor timelines to ensure completion.
  • EA has to work for 09 hours in a day according to the assigned shift.
  • Compensatory off will be availed if EA has worked on his/her weekly off for the said week. It should be availed within thirty days and should not be clubbed with weekly off.
  • EA will get only one weekly off once in a week; it may be any one day in a week (Monday to Sunday).
  • Management reserves the right to make decisions as required from time to time.
