Position Overview:

We are looking for a proactive, tech-savvy, and detail-oriented Executive Assistant to provide comprehensive support to senior management. This role requires exceptional organizational skills, strong communication abilities, and the capability to manage multiple priorities while maintaining confidentiality and professionalism

Key Responsibilities

Stakeholder Coordination & Communication

  • Act as the primary liaison between Management, Board Members, Directors, and external and internal stakeholders.
  • Serve as a key point of contact, ensuring seamless communication and coordination
  • Draft and manage professional correspondence, emails, and official communications

Calendar & Schedule Management

  • Manage calendars, appointments, and travel arrangements
  • Ensure efficient schedule planning and prioritization of meetings
  • Handle end-to-end coordination for internal and external engagements

Meeting & Governance Support

  • Organize meetings, prepare agendas, presentations, and minutes (MoMs)
  • Facilitate meeting for the Board and other Management/ Advisory Committees
  • Support structured follow-ups and action tracking and maintain structured review trackers and follow-up mechanisms

Documentation & Reporting

  • Prepare reports, presentations, MIS dashboards, and briefing notes
  • Maintain accurate digital records and documentation systems

Technology & Digital

  • Tools Use tools like Google Workspace, MS Office, Zoom, Microsoft
  • TeamsLeverage AI tools (e.g., ChatGPT) for efficiency and productivity
  • Maintain digital dashboards and improve workflows through technology

Project & Task Management

  • Track ongoing projects, deadlines, and deliverables, as required
  • Coordinate with multiple departments and program teams

Required Skills & Qualifications

  • Graduate/Postgraduate in any discipline
  • 4–10 years of experience in a similar role supporting senior leadership
  • Strong organizational, multitasking, and time-management skills
  • Excellent written and verbal communication abilities
  • Proficiency in MS Office, Google Workspace, and digital collaboration tools
  • High level of discretion, integrity, and professionalism
  • Ability to work in a fast-paced, dynamic environment
