We are building multiple SaaS products and scaling globally, which requires a highly organized, execution-focused, and trustworthy Executive Assistant who can operate closely with the Founders Office and help drive operational efficiency across business. functions.
Position Summary We are looking for a highly dependable, proactive, and execution-oriented Executive Assistant to work directly with the Founder & Director of WebBee. This role goes far beyond calendar management the person will act as an operational extension of the founder, ensuring priorities move fast, meetings convert into execution, and internal coordination happens efficiently. This is a high-ownership role suitable for someone who thrives in a fast-paced startup/SaaS environment and enjoys solving problems, coordinating with teams, and bringing structure to chaos.

Key Responsibilities
- Founder & Executive Support
- Manage the Founder's calendar, appointments, meetings, and priorities •
- Coordinate internal and external meetings •
- Prepare agendas, MOMs (Minutes of Meetings), and track action items •
- Ensure timely follow-ups with department heads and stakeholders •
- Filter and prioritize communication for the Founder •
- Handle confidential business information with professionalism Business Coordination & Execution •
- Coordinate across Product, Sales, Marketing, HR, and Operations teams •
- Track project timelines, deliverables, and pending actions •
- Maintain dashboards, trackers, and reports for leadership reviews •
- Ensure execution alignment across departments •
- Assist in strategic initiatives and special projects • Administrative & Operational Support • Manage travel planning, itineraries, bookings, and logistics • Handle vendor coordination and office-related administrative tasks • Organize documents, reports, presentations, and business records • Support event coordination, webinars, leadership meetings, and client visits • Ensure smooth day-to-day functioning of the Founder's Office Communication & Documentation • Draft emails, presentations, reports, and internal communication • Maintain meeting records and business documentation • Coordinate with clients, partners, and leadership teams professionally • Prepare summary reports and briefing notes for leadership discussions
Requirements
Required Skills & Qualifications
• Bachelor's degree required
• MBA or business/operations background preferred
• 3–6 years of experience as:
- Executive Assistant
- Founder's Office Associate
- Operations Coordinator
- Executive Coordinator
- Chief of Staff support role
• Prior experience in a startup, SaaS, IT services, or tech company preferred
• Excellent verbal and written communication skills
• Strong organizational and multitasking abilities
• High ownership and accountability mindset
• Ability to work directly with senior leadership
Technical & Tool Requirements
Candidate should be comfortable using:
• Google Workspace
• Microsoft Excel & PowerPoint
• Notion / ClickUp / Jira / Asana (any project management tools)
• Slack / Microsoft Teams
• AI productivity tools (ChatGPT, AI assistants, etc.)
