Salary: Up to 45,000 per month

About The Role

This role is crucial to enabling the Founder of a fast-growing business coaching and leadership development practice to focus on strategic client work. As the Executive Assistant, you will reduce operational bottlenecks by managing calendar coordination, communications, and follow-ups with precision and proactive ownership. Your role ensures seamless business operations and smooth execution of workshops, events, and vendor relationships, supporting the Founder in driving growth and impact.

Key Responsibilities

  • Manage the Founder's calendar end-to-end with careful scheduling, prioritization, and buffer management to avoid conflicts.
  • Prepare meeting agendas, document minutes, and drive accountability by tracking and closing action items.
  • Handle delegated correspondence, drafting communications that reflect the Founder's tone and intent independently.
  • Monitor internal team tasks and deadlines, proactively surfacing delays before they escalate.
  • Coordinate logistics for workshops, training sessions, and business events, including vendor bookings and attendee communication.
  • Oversee vendor relationships, follow up on deliverables, coordinate invoices with accounts, and flag issues promptly.
  • Maintain organized records, databases, and MIS reports for reliable reporting and decision-making.
  • Manage ad hoc operational requests that support both planned and unexpected business needs.

Required Skills

  • Proven experience managing a senior leader's calendar and business coordination independently.
  • Strong written English skills for drafting professional communications.
  • Proficiency in Google Workspace and MS Office (Excel and Outlook).
  • High level of discretion and confidentiality in handling sensitive business information.

Qualifications & Experience

  • 3–6 years supporting founders, directors, or C-suite executives with a focus on business operations, not just administrative tasks.
  • Experience in consulting, coaching, training, or professional services is a plus.
  • Familiarity with event coordination and workshop logistics.
  • Knowledge of CRM or project management tools like Notion or Asana is desirable.
  • Experience managing vendor negotiations and invoice processing is an advantage.
