Nutraceuticals like: Tablets, Capsules, Protein Powders and Gummies.

 Our Brand, Carbamide Forte is a new-age Indian Vitamin Supplements and Sports Nutrition brand with over 160+ products which is the largest range in India by any brand. We aim to break the idea that only foreign Vitamin Brands are the best in quality. We currently sell over nearly 6500 units daily online on various marketplaces. For many years we have been dedicated to creating world class supplements suited for our Indian audience to give them the best internationally sourced ingredients at affordable prices.

The brand was an online only brand till 2022 and now we are looking to expand it offline and also take it to different countries.

Role Description:

The Executive Assistant to Director is a full-time, on-site role based in Mumbai with a 6-day work week. This role supports the Director with day-to-day executive administrative tasks, leveraging modern AI and digital productivity tools alongside traditional administrative excellence to optimise leadership workflows.

Key Responsibilities:

  • Calendar & Schedule Management: Strategically manage the director's calendar, schedule meetings, resolve scheduling conflicts, and prioritise urgent requests.

  • AI & Tech Integration: Utilise AI tools (e.g., ChatGPT, Claude, AI scheduling assistants, automated transcription) to draft correspondence, summarise lengthy reports, manage meeting minutes (MOM), and optimize daily workflows.

  • Travel & Expense Coordination: Plan and coordinate comprehensive domestic and international travel itineraries. Efficiently manage, track, and prepare monthly expense reports.

  • Communication & Liaison: Act as a primary point of contact for internal teams and external stakeholders. Draft, review, and organize executive correspondence and emails.

  • Documentation & Reporting: Maintain, organize, and secure highly confidential corporate documents. Prepare high-quality presentations, meeting agendas, and operational reports.

  • Action Item Tracking: Attend key meetings to capture comprehensive Minutes of Meetings (MOM) and proactively follow up on action items to ensure deadlines are met.

Requirements

 

  • Bachelor's degree in any discipline.
  • Candidates must possess 3 to 7 years of proven experience as an Executive Assistant, Personal Assistant, or supporting leadership.
  • Exceptional communication skills—both written and verbal—are required for managing executive correspondence and seamlessly coordinating with internal and external stakeholders.
  • Advanced technical proficiency in MS Office, Google Workspace, and digital productivity platforms is essential, along with hands-on experience using AI tools to streamline workflows and drafting.
  • Strong organizational, multitasking, and problem-solving abilities are necessary to efficiently manage calendars, track complex travel itineraries, and accurately document minutes of meetings (MOM).
  • Candidates must demonstrate high emotional intelligence, strict adherence to confidentiality, and a commitment to working a standard 6-day on-site schedule in Mumbai.
