Job Description

Key Responsibilities:

Administrative & Executive Support

  • Provide administrative support to Managing Directors and departments with minimal supervision.
  • Manage Outlook/Teams requests and log tasks in ServiceNow.
  • Handle travel arrangements, calendar management, event planning, and workspace reservations.
  • Prepare correspondence, reports, and documents in line with company guidelines.

Client & Internal Coordination

  • Act as a point of contact for internal and external stakeholders.
  • Respond to queries, research information, and resolve issues requiring functional knowledge.
  • Maintain confidentiality while managing sensitive information and documents.

Operational Management

  • Support time and expense management, invoice processing (BuyNow), and procurement tasks.
  • Assist in preparing internal reports, scheduling training sessions, and coordinating work shadow programs.
  • Perform workflow management and provide guidance to junior administrative staff as required.

Project & Process Support

  • Assist with special projects and initiatives as assigned by team leads.
  • Conduct research, data collection, and prepare findings to support management decisions.
  • Recommend process improvements and contribute to administrative efficiency.

Shift & Work Model

  • Shift Timing: 5:30 PM 3:00 AM IST (8:00 AM 5:00 PM EST)
  • Work Model: Work from Office (Monday to Friday)

Required Qualifications:

  • High School Diploma or equivalent education with relevant training.
  • Minimum 7 years of progressively responsible clerical or administrative experience.
  • Proficiency in Microsoft Office (Word, Excel, Outlook, Teams).
  • Strong verbal and written communication, organizational, and interpersonal skills.
  • Ability to handle multiple priorities, work independently, and exercise sound judgment.
  • Experience managing confidential information with discretion.

Preferred Qualifications:

  • Associate's degree or equivalent higher education.
  • Experience with Microsoft PowerPoint and Access.
  • Familiarity with ServiceNow and corporate reporting systems.
  • Relevant administrative or industry certifications.
