You'll be set up for success as a Executive Assistant to the CEO at Miles if:
The Executive Assistant to the CEO plays a crucial role in supporting the Chief Executive Officer in managing daily operations and ensuring the efficient functioning of the executive office. This role requires a high degree of confidentiality, professionalism, and strong organizational skills.
Key Responsibilities:
- Administrative Support:
- Manage the CEO's calendar, schedule meetings, and coordinate appointments.
- Manage personal and professional schedules with all confidentiality and with professional attitude.
- Handle and prioritize incoming emails, phone calls, and other correspondence.
- Prepare and edit documents, reports, and presentations for the CEO.
- Assist in maintaining an organized filing system.
- Other duties as assigned
2.Travel and Logistics:
- Arrange travel itineraries, accommodations, and transportation for the CEO.
- Prepare travel expense reports and track expenses.
3.Communication:
- Serve as a liaison between the CEO and internal/external stakeholders.
- Draft, proofread, and distribute internal and external communications on behalf of the CEO.
4.Meeting Support:
- Prepare meeting agendas, materials, and take meeting minutes as needed.
- Coordinate and set up conference calls, video conferences, and in-person meetings.
5.Project Coordination:
- Assist the CEO in tracking and monitoring progress on key projects.
- Collaborate with various departments to ensure project deadlines are met.
6.Confidentiality:
- Maintain strict confidentiality and handle sensitive information with discretion.
7.Event Planning:
- Assist in organizing company events, board meetings, and other special occasions.
8.Office Management:
- Ensure the CEO's office is well-organized and stocked with necessary supplies.
- Assist in managing the CEO's professional contacts and networks.
Qualifications:
- Bachelor's degree or equivalent experience preferred.
- 5 to 10 years of experience
- Proven experience as an executive assistant or similar role.
- Excellent organizational and time management skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Strong written and verbal communication skills.
- Ability to handle multiple tasks and prioritize effectively.
- Exceptional attention to detail.
- Discretion and ability to maintain confidentiality.
- Strong problem-solving skills.
- Professional and polished demeanor.
- Flexibility to work outside of regular business hours when necessary.
