Job Description:
Markitome is seeking a highly organized, trustworthy and proactive Executive Assistant (EA) to directly support the CEO & Managing Director. This is a high impact role designed for someone who can manage communications, calendar, documentation and daily operations seamlessly essentially acting as an extension of the CEO.
The EA will be responsible for organizing every aspect of the CEO's professional and select personal life, ensuring clarity, structure and follow through across meetings, calls, communications and all commitments.
The goal of this role is to completely free Vivek Rangabhashyam from routine management, ensure no task, call, or conversation slips through the cracks and maintain a seamless flow between his professional, social and personal priorities all while upholding Markitome's or Markitome's affiliated brands structure.
- This is NOT a clerical or passive admin role.
- This is a high trust, high ownership position with visibility into confidential decision making.

Key Responsibilities:
Calendar & Time Management
- Own and manage the Founder's calendar end-to-end.
- Schedule, reschedule, prioritize, and decline meetings when required.
- Maintain color-coded calendar themes (clients, internal meetings, personal, travel, strategic work, public engagements).
- Ensure adequate buffers between meetings and focus blocks.
- Send reminders and prepare agendas and background notes ahead of meetings.
Communication & Phone Management
- Manage the Founder's phone during working hours.
- Handle incoming and outgoing calls, WhatsApp messages, emails, and LinkedIn communications.
- Filter and prioritize communications based on urgency and importance.
- Respond on behalf of the Founder where appropriate, using an agreed tone and style.
- Maintain detailed call logs, message summaries, and follow-up trackers.
Meeting Documentation & Follow-ups
- Attend and document all in-person and virtual meetings.
- Capture meeting notes, key decisions, action items, and ownership.
- Share concise post-meeting summaries and ensure follow-ups are tracked and closed.
- Maintain a centralized meeting and decision log.
Social Media & Brand Communication
- Manage and monitor the Founder's social media presence (LinkedIn, Instagram, WhatsApp Business, etc.).
- Draft posts, replies, and messages for approval.
- Coordinate with internal teams for content scheduling and publishing.
- Track engagement, messages, and opportunities arising from social platforms.
Daily, Weekly & Monthly Organization
- Maintain a daily activity log and end-of-day summary.
- Prepare a weekly dashboard covering meetings, progress, pending items, and priorities.
- Organize documents, presentations, approvals, and reference material.
- Ensure nothing discussed or promised is missed.
Personal & Administrative Support
- Manage travel planning, itineraries, bookings, and logistics.
- Track key personal dates (birthdays, anniversaries, important reminders).
- Assist with personal appointments and confidential tasks when required.
- Coordinate with vendors, consultants, and internal teams.
Confidentiality & Special Projects
- Handle sensitive information, documents, and communications with absolute discretion.
- Support the Founder on strategic initiatives, speaking engagements, and special projects.
- Manage NDAs, applications, submissions, and confidential correspondence.
Skills Needed:
- Exceptional organizational and multitasking skills.
- Strong written and verbal communication.
- High level of discretion, maturity, and trustworthiness.
- Ability to anticipate needs and take proactive action.
- Comfortable managing senior stakeholders and multiple priorities.
- Strong documentation and follow-up discipline.
- Tech-savvy (Google Workspace, calendars, messaging tools, social platforms).
Qualifying Requirements:
- Bachelor's degree in Business Administration, Business Communications or a related discipline.
- 3 to 6 years of experience as an Executive Assistant, Founder's Office or similar role.
- Experience supporting senior leadership, entrepreneurs, or fast-growing organizations.
- Must be exceptional on Social Media. Will be handling the personal LinkedIn, Facebook, X.com and Instagram handle.
- Should be well structured in email communication.
- Must be a very clear communicator over telephonic conversations and while speaking in-person.
- Exposure to startups, consulting firms or multi business environments is a plus.
- Excellent project management and organizational skills.
- Strong analytical and problem-solving abilities.
- Fluency in English is essential. Proficiency in Telugu and Hindi is highly valued.
- Having a strong and updated LinkedIn profile is also a necessity for this role.
