Job Description

Company Description Indian Institute of Gems & Jewellery (IIGJ) is a specialized education initiative of the Gem & Jewellery Export Promotion Council (GJEPC), focused on developing skilled professionals for the gems and jewellery sector. Role Description The Executive Assistant to the Chief Executive Officer will provide comprehensive administrative and organizational support to the CEO in a full-time, on-site role based in Mumbai. Responsibilities include managing the CEO's calendar, coordinating meetings, preparing agendas and minutes, and handling correspondence and documentation. The role involves organizing travel and accommodation, overseeing expense reports, and ensuring timely follow-up on action items and key initiatives. The Executive Assistant will liaise with internal teams and external stakeholders, maintain confidential records, and assist with preparing presentations, reports, and communication material. This position requires a high level of professionalism, discretion, and the ability to prioritize multiple tasks in a dynamic academic and industry-focused environment.

Qualifications

  • Strong Executive Administrative Assistance and Executive Support skills to manage day-to-day priorities for the CEO.
  • Experience in Diary Management, including scheduling, meeting coordination, and calendar optimization.
  • Proficiency in handling Expense Reports and general Administrative Assistance tasks with accuracy and timeliness.
  • Excellent written and verbal communication skills, with the ability to draft professional emails, reports, and presentations.
  • High level of integrity, discretion, and ability to manage confidential information responsibly.
  • Advanced proficiency in MS Office (Word, Excel, PowerPoint), email and calendar tools, and basic digital collaboration platforms.
  • Strong organizational, time management, and problem-solving skills, with attention to detail and follow-through.
  • Ability to collaborate effectively with senior leadership, faculty, and administrative staff, and to represent the CEO professionally.
  • Prior experience as an Executive Assistant or in a similar role, preferably in education, training, or industry associations.
  • Bachelor's degree in any discipline; additional training in administration, business, or office management is an advantage.
