Job Description

About the Role

We are seeking a poised, organized, and dependable Executive Assistant to support the CEO of our specialty dyes and ink manufacturing company at our Vatva GIDC facility. This is a senior support role suited to a mature, settled professional with substantial executive assistance experience, who seeks a stable, long-term position with predictable working hours that allow for a balanced personal life. The candidate should reside within a 30-minute commute of the factory to ensure punctuality and work-life balance.

Location & Working Hours

Location: Vatva GIDC, Ahmedabad (on-site role at factory office)

Working Days: Monday to Saturday (2nd & 4th Saturday off)

Timings: 9:30 AM to 6:00 PM

Travel: Minimal; primarily office-based

Key Responsibilities

Calendar & Schedule Management. Manage the CEO's daily calendar, schedule internal and

external meetings, coordinate with plant heads, department managers, customers, vendors,

and government officials, and ensure the CEO is briefed before every engagement.

Communication & Correspondence. Screen calls, emails, and WhatsApp messages on

behalf of the CEO; draft professional correspondence in English and Gujarati / Hindi; liaise with

international buyers, dye and pigment suppliers, resin and solvent vendors, and regulatory

bodies such as GPCB, Factory Inspectorate, and Customs.

Meeting Coordination. Organize board meetings, management review meetings, and

customer visits; prepare agendas, take minutes, circulate action points, and follow up on

closures with respective department heads.

Travel & Logistics. Plan domestic and international travel including flights, hotels, visas,

foreign exchange, and itineraries for trade fairs (such as PaintIndia, PrintPack, ChemSpec,

ChinaCoat, and India Chem) and customer visits.

Documentation & MIS. Maintain confidential files, contracts, NDAs, export documents, and

compliance records; coordinate with the accounts team for invoices and expense reports;

prepare basic MIS reports and presentations for the CEO.

Customer & Vendor Liaison. Serve as the first point of contact for key customers (printing ink

manufacturers, packaging and flexible printing companies, textile mills, paper, and coatings

industries) and overseas buyers; coordinate sample dispatches, order follow-ups, and payment

reminders in coordination with the sales and dispatch teams.

Personal Assistance. Manage select personal tasks for the CEO including family

appointments, bill payments, and household coordination as required.

Candidate ProfileWe are looking for a mature, settled professional with a minimum of 8 years of experience in an executive assistant, secretarial, or office coordinator role, preferably with exposure to a manufacturing, dyes, inks, paints, chemicals, pharma, or export-oriented company. A graduate in any discipline (B.Com, BBA, BA, or equivalent); a post-graduate qualification or additional certification in secretarial practice or office management is a plus. The candidate must reside within 30 minutes of

Vatva GIDC — areas such as Vatva, Maninagar, Isanpur, Vastral, Ramol, Hatkeshwar, CTM, Ghodasar, Narol, or nearby.

Skills Required

• Excellent verbal and written communication in English, Gujarati, and Hindi.

• Strong proficiency in MS Office (Word, Excel, PowerPoint, Outlook).

• Comfort with WhatsApp Business, Google Workspace, and basic ERP systems (SAP, Tally, or similar).

Discretion and confidentiality — non-negotiable, given exposure to sensitive commercial and financial information.

• Self-driven, able to anticipate the CEO's needs and manage multiple priorities calmly under pressure.
