About the Role

An Executive Assistant to the CEO will act as a strategic partner to the CEO by managing schedules, priorities, communication, and key business coordination. The role requires exceptional organizational skills, discretion, business understanding, and the ability to ensure seamless execution of daily operations while supporting strategic initiatives.

Responsibilities

  • Manage the CEO's calendar, meetings, appointments, travel schedules, and daily priorities.
  • Coordinate internal and external meetings, ensuring agendas, notes, and follow-ups are completed.
  • Act as the primary point of contact between the CEO and internal teams / external stakeholders.
  • Prepare presentations, reports, dashboards, and business documents for leadership reviews.
  • Track ongoing projects and ensure timely completion of tasks assigned by the CEO.
  • Handle confidential information with the highest level of professionalism and discretion.
  • Coordinate with department heads for updates, reviews, and action plans.
  • Manage travel bookings, accommodation, itineraries, and expense reports for the CEO.
  • Draft professional emails, communication notes, MOMs, and announcements on behalf of the CEO.
  • Assist in planning company events, leadership meetings, and special projects.
  • Ensure all priority matters are escalated and resolved efficiently.
  • Maintain records, trackers, and documentation for strategic decisions and action items.
  • Available for urgent business coordination beyond regular working hours when required.
  • Drive operational efficiency by anticipating needs and solving problems proactively.

Required Skills

  • Proven experience as an Executive Assistant / Personal Assistant to senior leadership or CEO.
  • Strong command over Excel, PowerPoint, Google Workspace, and documentation tools.
  • Excellent verbal and written communication skills.
  • Strong planning, coordination, and multitasking abilities.
  • High level of confidentiality, integrity, and professionalism.
  • Ability to work under pressure in a fast-paced environment.
  • Strong ownership mindset with attention to detail.
