Location: Loudon Street, Kolkata (On-site job)
Employment Type: Full-Time
Salary: Up to 7.2 LPA
Probation Period: 3 months
About the Role:
As an Executive Assistant to the CEO & Founder at Dhanvesttor, you will work closely with the CEO to structure, streamline and optimise her work, time and priorities. This is not a purely administrative or routine support role. The position requires someone highly organised, responsible, proactive and capable of understanding the context behind tasks, thinking independently and contributing meaningfully to the CEO's effectiveness.
The ideal candidate will be able to understand the CEO's priorities, anticipate requirements, bring structure to competing demands, contribute to discussions and decision-making, and independently drive tasks and follow-ups to completion.
Essential Duties and Responsibilities:
- Structure and streamline the CEO's work and time by organising priorities, commitments, meetings, follow-ups and other responsibilities efficiently.
- Manage the CEO's calendar effectively, including scheduling and prioritising meetings, allocating time appropriately, avoiding conflicts, and ensuring that the calendar reflects her key priorities and commitments.
- Understand the CEO's priorities and translate them into action by maintaining clear to-do lists, trackers, timelines and follow-ups, ensuring that important tasks move forward and deadlines are met.
- Act as a thought partner to the CEO by understanding the context behind requirements, participating in discussions and decision-making where appropriate, asking relevant questions, identifying gaps and providing thoughtful input.
- Anticipate requirements and take ownership of delegated responsibilities, independently determining the necessary next steps and following tasks through to completion without requiring constant supervision.
- Manage multiple priorities effectively, adapting to changing requirements and time-sensitive situations while maintaining accuracy and attention to detail.
- Conduct research and compile information for meetings, presentations, reports, projects and decision-making as required by the CEO.
- Coordinate with internal and external stakeholders, including team members, clients, vendors and other professional contacts to ensure smooth execution of the CEO's priorities and timely follow-ups.
- Manage the CEO's meetings, travel, events and professional commitments, including relevant arrangements and coordination.
- Manage correspondence, calls, documents, records and other administrative requirements of the CEO while maintaining complete confidentiality and discretion.
- Use ChatGPT and other AI tools effectively for research, drafting, organisation, information processing and improving day-to-day productivity.
- Maintain basic documentation and data using MS Word, MS Excel, Google Drive and Google Workspace.
Critical Skills and Attributes:
- Highly organised and responsible, with strong attention to detail.
- Strong understanding and comprehension skills, able to quickly grasp requirements, context and priorities rather than simply follow instructions.
- Strong multitasking and prioritisation abilities, with the judgement to distinguish between what is urgent and what is important.
- Proactive and solution-oriented, with the ability to think ahead and take initiative.
- Sound judgement and decision-making ability, based on logic, rationale and the larger context.
- Strong communication and interpersonal skills, with a warm, confident and approachable personality.
- High sense of ownership and urgency, with the ability to work independently and meet deadlines.
- Comfortable working in a dynamic and evolving environment with changing priorities.
- Strong proficiency in using technology, ChatGPT and AI tools to enhance productivity, streamline work, conduct research, solve problems and improve overall efficiency.
- Resonates with the vision, mission and values of Dhanvesttor.
Qualifications & Experience:
- 2–3 years of prior experience as an Executive Assistant, preferably supporting a senior executive, founder or leadership team.
- Graduate degree or equivalent qualification.
