We are seeking an exceptionally proactive, experienced, and highly articulate Executive
Assistant/Personal Assistant (EA/PA) to be the backbone of our Founders Office. This
multifaceted role requires a dynamic individual who can manage complex administrative
responsibilities, act as a key internal and external liaison, and actively drive our company's
digital and social media presence. The ideal candidate will possess a strong personality,
excellent judgment, and the ability to anticipate needs and provide solutions in a fast-paced
digital marketing agency environment.
I. Founders Office Management & Administration
Maintain various records and confidential documents for the Founders Office.
Handling correspondence directed to the Founders Office, including prioritizing
emails and responding to calls when necessary.
Organize, prepare, and provide solutions for meetings, including gathering
necessary documents and attending to all logistical arrangements.
Draft, review, and send professional communications, reports, and
internal/external presentations on behalf of the Founders Office.
II. Strategic Support & External Relations
Scouting, onboarding, negotiating with, and managing partners, enablers, and
vendors.
Actively being part of creative brainstorming sessions with the founders and
meticulously documenting the results and action items.
Manage communication flow between the Founders Office and employees.
Liaise effectively with internal and external executives on various projects and tasks.
Prepare internal and external documents/presentations/reports for the Founders
Office.
Identifying and calendaring important marketing conventions and industry events to
attend.
Represent the Founders Office in meetings and events when asked, duly noting
down all details and providing comprehensive summaries.
III. Digital Communications & Social Media
Operate and manage digital communications for the company and the
executives.
Actively drive content creation, scheduling, and community engagement for the
company's social media presence.
Ensure the online profiles of the founders align with company branding and strategic
goals.
Qualifications and Skills
Proven experience (minimum 3-5 years) in an EA/PA role, preferably supporting senior
executives or founders in a dynamic industry.
Exceptional written and verbal communication skills with a clear, professional style.
A strong, positive, and proactive personality; a forward-thinker who anticipates needs
and provides solutions.
Impeccable organizational skills with extreme attention to detail.
