What You'll Do
Executive & Calendar Management
- Manage complex and dynamic executive calendars, ensuring optimal prioritization of meetings, business commitments, and strategic engagements.
- Anticipate scheduling conflicts and proactively resolve competing priorities while maximizing leader effectiveness.
- Coordinate internal and external meetings across multiple time zones and stakeholders.
- Arrange domestic and international travel, including flights, accommodations, visas, ground transportation, and itineraries.
- Ensure all travel arrangements are compliant with company policies and budget guidelines.
- Anticipate travel-related challenges and proactively implement solutions to ensure seamless experiences.
- Plan and coordinate leadership meetings, town halls, off-sites, customer engagements, and team events.
- Manage meeting logistics, agenda coordination, room bookings, catering, and hospitality requirements.
- Support preparation of presentations, reports, briefing materials, and follow-up actions.
- Serve as a key point of contact for internal and external stakeholders, fostering strong relationships across the organization.
- Handle sensitive and confidential information with discretion and sound judgment.
- Facilitate effective communication and coordination across functions and leadership teams.
- Support expense management, purchase requisitions, invoice processing, and other administrative activities.
- Maintain organized records, documents, and departmental files.
- Identify opportunities to streamline administrative processes and improve efficiency through continuous improvement initiatives.
- Provide project coordination support for key business priorities and leadership initiatives.
- Bachelor's degree preferred in Business Administration, Communications, or a related discipline.
- 8+ years of experience supporting senior executives in a multinational, corporate, or fast-paced business environment.
- Demonstrated ability to manage multiple priorities while maintaining exceptional attention to detail.
- Proven track record of handling highly confidential information with professionalism and integrity.
- Strong project coordination and stakeholder management capabilities.
- Advanced proficiency in Microsoft Office Suite, including Outlook, PowerPoint, Excel, Word, and Microsoft Teams.
- Excellent written and verbal communication skills.
- Strong organisational, planning, and problem-solving skills with a proactive mindset.
- Ability to work independently, exercise sound judgment, and adapt to changing business priorities.
- Experience supporting senior leaders within Sales, Commercial, Marketing, Operations, or Corporate functions.
- Experience working in a global matrix organisation.
- Exposure to process improvement, event management, and cross-functional coordination.
