Work Hours: Core hours aligned to U.S. Eastern Time (9:00 AM 5:00 PM EST), with occasional support during Indian Standard Time (IST) hours for time-sensitive matters

Compensation: USD 11500 15500 per annum, INR 85,000 115,000 per month, plus performance-based bonus

Reporting To: Chief Executive Officer

Position Overview

Tend Health is seeking a highly reliable, proactive, and detail-oriented Executive Assistant to support the Office of the Chief Executive Officer. This role is central to enabling the CEO to operate efficiently across clinical, operational, and strategic priorities.

This fully remote role, with core working hours aligned to U.S. Eastern Time. The position also requires limited, ad hoc availability during IST hours for urgent coordination or executive support. The ideal candidate is highly organized, exercises strong judgment, and thrives in a fast-paced, high-accountability environment

Key Responsibilities

1. Executive & CEO Office Support

  • Proactively manage and optimize the CEO's calendar, scheduling internal and external meetings across multiple time zones
  • Serve as a primary liaison between the CEO and internal teams, clinicians, partners, and external stakeholders
  • Draft, review, and manage professional email correspondence on behalf of the CEO, ensuring clarity, timeliness, and alignment with priorities
  • Prepare, edit, and format executive-level materials, including presentations, agendas, briefing notes, and internal communications
  • Track action items, follow-ups, and deadlines to ensure consistent execution across initiatives

2. Strategic & Operational Coordination

  • Support CEO-led initiatives related to clinical operations, partnerships, hiring, and organizational growth
  • Assist with research, synthesis of information, and preparation of materials for leadership decision-making
  • Coordinate with cross-functional teams to ensure priorities are executed accurately and on time

3. Travel, Meetings & Events

  • Coordinate domestic and international travel, including flights, hotels, visas and ground transportation
  • Prepare detailed travel itineraries and manage real-time schedule changes as needed
  • Assist in organizing leadership meetings, board-related logistics, offsites, and external engagements

4. Administrative & Confidential Support

  • Prepare and submit expense reports, track reimbursements, file monthly reporting/s and assist with budget-related documentation
  • Maintain organized digital filing systems for contracts, correspondence, and executive materials
  • Handle confidential, clinical-adjacent, and sensitive business information with the highest level of discretion
  • Act as a strategic gatekeeper to ensure executive time is used efficiently and aligned with business priorities

Required Qualifications & Skills

Experience

  • Minimum 5+ years of experience as an Executive Assistant or Administrative Assistant supporting senior leaders, founders, or C-suite executives

Education

  • Bachelor's degree required
  • Master's degree (particularly in communications or related fields) preferred

Technical Proficiency

  • Strong command of Microsoft Office (Word, Excel, PowerPoint)
  • Proficiency with Google Workspace, Zoom, Slack, Concur, and calendar management tools

Communication

  • Excellent written and verbal communication skills
  • Ability to draft polished, professional correspondence independently

Organization & Execution

  • Exceptional attention to detail
  • Strong prioritization skills and ability to manage multiple competing demands

Judgment & Discretion

  • Proven ability to handle sensitive and confidential information with sound judgment

Availability

  • Ability to work core hours 9:00 AM 5:00 PM EST, with flexibility to provide occasional IST-hour support when required

Preferred Qualifications

  • Prior experience in healthcare, mental health, or clinician-facing organizations
  • Experience supporting a CEO, founder, or executive leadership team in a high-growth or complex organization
  • Background as an Executive Assistant in investment banking, private equity, venture capital, or top-tier management consulting (MBB) is a strong plus (but not mandatory)
  • Demonstrated ability to operate effectively in fast-paced, high-pressure professional services environments
