Role Overview

We are seeking a highly organised, proactive, and discreet Executive Assistant to serve as trusted support to the Managing Director. This role is central to keeping priorities aligned, communication flowing, and operations running smoothly. The successful candidate will take ownership of administrative responsibilities, anticipate needs, and ensure the leadership team operates at maximum effectiveness in a fast-paced, fully remote environment.

Key Responsibilities:

  • Own and manage the Managing Director's diary and inbox, confidently prioritising requests, scheduling meetings, and resolving conflicts with urgency and accuracy.
  • Ensure seamless communication by managing emails, calls, follow-ups, and action items so nothing is missed.
  • Organise and support meetings end-to-end, including preparation, agendas, documentation, and tracking actions to completion.
  • Produce high-quality documents, presentations, and reports with exceptional attention to detail and minimal revisions required.
  • Act as a professional point of contact with clients, suppliers, and internal stakeholders, maintaining strong working relationships.
  • Use tools and systems such as Microsoft Office, Microsoft Teams, CRM platforms, job processing systems, and project management tools to improve productivity and efficiency.
  • Consistently meet deadlines while working in a fast-paced, remote environment.
  • Proactively identify issues, bottlenecks, and inefficiencies, resolving them before they impact the business.
  • Handle confidential and sensitive information with absolute discretion and professionalism.
  • Continuously seek smarter ways of working, recommending and implementing improvements that support business growth.

Required Qualifications

  • 3+ years of experience as an Executive Assistant, preferably within an SME environment.
  • Demonstrable experience automating workflows and improving processes.
  • Strong organisational skills with the ability to manage multiple priorities independently.
  • Excellent written and verbal English communication skills.
  • High level of discretion, reliability, and professionalism when handling sensitive information.
  • Proven ability to work proactively, anticipate needs, and deliver solutions.

Preferred Skills / Nice to Have

  • Experience with automation tools such as Zapier, Make, n8n, or custom GPT workflows.
  • Exposure to CRM systems, project management software, and SaaS tools.
  • Prior experience supporting senior leadership in a remote or distributed team environment.

Work Schedule

As the client is UK-based, you will be required to work in UK daytime:

  • Monday to Friday
  • GMT: 8:30 AM – 5:00 PM
  • Local Time (IST): 2:00 PM – 10:30 PM

Pay & Benefits - What you'll get in return:

  • Annual salary range of ₹8,00,000 – ₹14,00,000, based on experience.
  • Fully remote role
