Job Summary

We are seeking an experienced and highly organized Executive Assistant to support one of our Business Unit Heads. This role demands a professional who can proactively manage administrative responsibilities, facilitate smooth day-to-day operations, and serve as a reliable point of contact for internal and external stakeholders.

Job Responsibilities

  • Manage complex calendars, schedule meetings, and coordinate appointments, ensuring efficient time management.
  • Organize internal and external meetings, leadership reviews, and business events, including logistics and preparation of materials.
  • Handle domestic and international travel arrangements, including itineraries, visa coordination, and accommodations.
  • Prepare high-quality presentations, reports, and documentation as required.
  • Track and follow up on key deliverables and deadlines on behalf of the BU Head.
  • Manage confidential information and sensitive matters with discretion and professionalism.
  • Serve as the central point of coordination between the BU Head and cross-functional teams.
  • Support in planning and coordinating BU-level activities, events, and communications.

Requirements

  • Bachelor's degree in any discipline.
  • 4 - 6 years of relevant experience as an Executive Assistant, preferably in a corporate or multinational environment.
  • Proficient in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
  • Excellent organizational and multitasking abilities with strong attention to detail.
  • Strong verbal and written communication skills.
  • High level of professionalism and ability to maintain confidentiality.
  • Proactive, self-motivated, and solution-oriented mindset.
  • Experience supporting senior executives in large or global organizations.
  • Familiarity with virtual collaboration tools (Zoom, MS Teams, SharePoint, etc.).
  • Ability to adapt quickly to changing priorities and business needs.
