Job Description

We are looking for a highly organized and proactive Executive Assistant to support our Managing Director (MD). The ideal candidate will have prior experience in managing international travel arrangements, calendar management, coordination with global teams, and handling confidential information with discretion. This role requires excellent communication skills, time management, and attention to detail.

Responsibilities

  • Manage the daily schedule of the MD, including meetings, appointments, and internal/external communications.
  • Coordinate and manage international and domestic travel arrangements, including visas, flight bookings, accommodation, and itineraries.
  • Prepare reports, presentations, and meeting notes as required by the MD.
  • Track and follow up on action items, deadlines, and key deliverables.
  • Handle confidential and sensitive information with utmost professionalism.
  • Organize and coordinate high-level meetings, board meetings, and strategic sessions.
  • Provide general administrative support such as filing, document handling, and expense tracking.
  • Assist with event coordination and company communications on behalf of the MD when required.

Requirements

  • Bachelor's degree in any discipline; additional certifications in administration or travel management are a plus.
  • 2-4 years of proven experience as an Executive Assistant / Personal Assistant, preferably supporting senior leadership.
  • Prior experience in managing international travel and visa documentation is mandatory.
  • Excellent communication skills - both verbal and written.
  • Strong organizational and multitasking abilities.
  • High level of discretion, integrity, and professionalism.
  • Proficient in MS Office (Word, Excel, PowerPoint, Outlook) and calendar tools (Google/Outlook).
  • Ability to work flexible hours as needed to support international coordination.

Preferred Background

  • Exposure to working in global or multi-time zone environments.
  • Ability to manage work in fast-paced settings.
  • Familiarity with online travel portals, visa portals, and international travel regulations.
