Role & Responsibilities
- Manage executive calendars, schedule high-priority meetings, and coordinate cross-functional operational reviews across procurement, logistics, and compliance teams.
- Prepare, edit, and distribute operational briefs, executive summaries, and board-pack materials—ensuring alignment with key deadlines and stakeholder expectations.
- Coordinate domestic and international travel logistics, including visa processing, accommodation, and itinerary management for senior leadership and global partners.
- Act as primary gatekeeper for executive communication—screening calls, triaging emails, and routing urgent operational escalations to relevant departments.
- Track and follow up on action items from leadership meetings, maintaining centralized dashboards and ensuring timely closure of cross-departmental deliverables.
- Support documentation and data management for compliance, audits, and operational KPIs—maintaining digital and physical filing systems with high accuracy.
Skills & Qualifications
Must-Have
- Microsoft Office Suite (Outlook, Excel, PowerPoint)
- Google Workspace (Calendar, Drive, Meet)
- Project Management Tools (Trello, Asana, or Notion)
- ERP or Logistics Management Systems (e.g., SAP, Zoho, or similar)
- Advanced Calendar & Travel Coordination
- Document Drafting & Executive Communication
Preferred
- Experience in Agri-Commodity or FMCG Operations
- Familiarity with Export Documentation (Bill of Lading, COO, ETC)
- Basic Knowledge of Customs & Compliance Procedures
