Executive Assistant - Office of the Founder & CEO
Professional calendar, communications and executive coordination
ABOUT THE ROLE
Malsons is looking for an exceptional Executive Assistant to join the Office of the Founder & CEO. This is a high-trust role supporting a Founder operating across multiple businesses, investments and international partnerships. The EA will own the professional operating infrastructure around the Founder so that his time, calendar, communications and business administration run seamlessly.
The EA owns the Founder's professional machinery: when things happen, where they happen, who is involved and whether everyone is prepared.
KEY RESPONSIBILITIES
• Own and manage the Founder & CEO's professional calendar end-to-end.
• Prioritise and coordinate a high volume of meeting requests and commitments.
• Manage complex scheduling across India and international time zones.
• Coordinate with senior executives, artists and their teams, investors, lawyers, business partners and other external stakeholders.
• Manage and triage professional correspondence and ensure important communications are actioned.
• Prepare daily and weekly schedules and maintain forward visibility on commitments.
• Coordinate meeting agendas, materials, documents, video links and logistics.
• Ensure the Founder is properly briefed and prepared for important meetings.
• Coordinate closely with the Chief of Staff on priorities, decisions and follow-ups.
• Track documents requiring review, approval or signature.
• Maintain confidential records and important contact/VIP databases.
• Coordinate business travel with the Personal Assistant.
• Manage meeting invitations, confirmations, changes and routine follow-ups.
• Work seamlessly with EAs and offices of senior external stakeholders.
• Anticipate calendar conflicts and resolve them proactively.
• Maintain exceptional confidentiality and discretion at all times.
WHO WE'RE LOOKING FOR
• 4-7+ years of relevant Executive Assistant experience.
• Prior experience supporting a Founder, CEO, promoter, CXO or other senior executive strongly preferred. • Exceptional calendar, prioritisation and time-management skills.
• Excellent written and spoken English with polished professional communication.
• Comfortable interacting with highly senior and high-profile stakeholders.
• Extremely detail-oriented, organised and calm under pressure.
• Excellent judgment regarding priorities, confidentiality and when to escalate.
• Strong proficiency with modern productivity and collaboration tools.
• Comfortable working across international time zones.
• Experience in entertainment, media, investing, technology, family offices or fast-growing companies is advantageous.
WHAT SUCCESS LOOKS LIKE
The Founder should rarely need to think about when, where or how something is happening. You have anticipated it, organised it and made sure everyone involved is prepared.
