Role Overview
The EA & MIS Executive will serve a dual purpose
On one hand, this person will provide day-to-day executive assistance to the Director managing schedules, communications, and coordination. On the other hand, they will be responsible for building, maintaining, and presenting MIS reports, dashboards, and data trackers that give the Director and leadership team real-time visibility into the business. This is a high-visibility role requiring equal parts organisational ability, analytical thinking, and professional communication.
Executive Assistant Responsibilities
• Manage the Director's calendar schedule meetings, calls, and appointments; ensure the day runs without conflicts or surprises.
• Prepare the Director's daily briefing priorities, meeting agenda, pending actions, and key updates from departments.
• Draft and send emails, letters, and official communications on the Director's behalf with accuracy and the right tone.
• Screen and manage incoming calls, messages, and correspondence; handle routine matters
independently and flag urgent ones immediately.
• Coordinate with internal department heads, branch managers, and external parties to schedule
meetings and follow up on action items.
• Organise and minute all meetings attended by the Director circulate action points and track closure with respective teams.
• Manage domestic travel arrangements bookings, hotels, itineraries, and expense reports.
• Maintain strict confidentiality of all business discussions, decisions, and sensitive communications.
• Support preparation of presentations, proposals, and documents for client meetings, reviews, and leadership discussions.
MIS & Reporting Responsibilities
• Design, build, and maintain MIS dashboards and reports covering key business metrics revenue, collections, fleet utilisation, branch-wise performance, customer-wise volumes, and operational KPIs.
• Collect data from Finance, Sales, Operations, and Branch teams on a daily/weekly/monthly basis; consolidate and present it in clean, accurate formats for the Director's review.
• Prepare and circulate the daily/weekly business performance report to the Director and relevant HODs.
• Track and monitor accounts receivable ageing, outstanding collections, and billing MIS; flag exceptions and overdue items proactively.
• Build and manage sales pipeline trackers, new customer acquisition reports, and revenue trend analyses.
• Maintain fleet utilisation and vehicle productivity reports in coordination with the Operations team.
• Prepare branch-wise P&L summaries, load count reports, and lane-wise performance data as required.
• Support the Director with ad-hoc data analysis, business research, and presentation of findings.
• Automate recurring reports using Excel formulas, pivot tables, and dashboards to improve efficiency and reduce manual effort.
• Ensure data accuracy and integrity across all reports zero tolerance for errors in numbers shared with leadership.
Key Skills & Competencies
• Strong proficiency in MS Excel pivot tables, VLOOKUP/XLOOKUP, charts, conditional formatting, and dashboard creation are essential.
• Good command over MS PowerPoint for preparing clean, professional presentations.
• Excellent written and verbal communication in English and Hindi.
• High attention to detail accuracy in both scheduling and data reporting is non-negotiable.
• Organised, proactive, and able to manage multiple tasks simultaneously without missing deadlines.
• Discretion and professionalism in handling confidential business information.
• Familiarity with EMIST ERP or similar transport/logistics ERP systems is an advantage.
• Quick learner comfortable picking up new tools, formats, and reporting templates as the business evolves.
Qualifications & Experience
• Graduate in B.Com, BBA, MBA, or any relevant discipline.
• 0–5 years of experience; freshers with strong Excel and data skills are welcome to apply.
• Prior internship or work experience in logistics, transport, finance, or operations will be given preference.
• Candidates who have handled MIS, reporting, or data analysis roles in a logistics or supply chain company will be at a strong advantage.
