The Executive Administrative Assistant (EA) provides high-level administrative, operational, and strategic support to the Country Head of the India GCC and the US-based GM. This role serves as a trusted partner, enabling leadership effectiveness, driving coordination across stakeholders, and ensuring consistent execution of key business priorities.
The EA operates in a fast-paced, global environment, requiring strong judgment, discretion, and the ability to anticipate needs, create clarity, and ensure follow-through.
Essential Job Responsibilities & Key Performance Outcomes
Executive Support
- Manage complex calendars, travel, and scheduling across time zones
- Coordinate meetings, logistics, and preparation for leadership engagements
- Prepare presentations, reports, and executive materials
- Capture and track meeting outcomes, action items, and follow-ups
Leadership Enablement & Strategic Support
- Act as a proactive partner to leadership, anticipating needs and ensuring readiness
- Conduct research and synthesize insights for decision-making
- Prepare briefing materials and structured summaries
- Support leadership decisions by consolidating inputs into clear recommendations
Operational Coordination
- Support setup and ongoing operations of the Hyderabad GCC
- Coordinate with HR, Finance, IT, and Facilities teams
- Track initiatives, deadlines, and deliverables
India Leadership Coordination
- Drive alignment across India leadership priorities
- Track action items and ensure accountability
- Establish governance rhythms and reporting mechanisms
- Identify risks and escalate with recommended solutions
Communication & Stakeholder Management
- Serve as a key point of contact for internal and external stakeholders
- Draft and review communications and reports
- Enable clear and proactive communication across global teams
Project & Event Management
- Support leadership offsites, town halls, and engagement events
- Track strategic projects and provide updates
- Coordinate vendors and external partners
Strategic & Digital Support
- Leverage tools (including AI/automation) to improve efficiency
- Maintain awareness of industry trends and business context
- Support business reviews and strategy sessions
Required Qualifications
- Bachelor's degree or equivalent experience
- Minimum of five (5) years supporting senior executives in a fast-paced environment
- Strong organizational and prioritization skills
- Excellent written and verbal communication
- High level of discretion and professionalism
- Proficiency in Microsoft Office (PowerPoint, Excel, Word, Outlook)
- Ability to manage multiple priorities with strong attention to detail
Preferred Qualifications
- Experience supporting global or cross-regional leaders
- Experience in GCC, technology, or consulting environments
- Familiarity with AI tools and automation
- Strong analytical and problem-solving skills
