Who we are looking for
Asia Pacific Administration Team
You will collaborate closely with leaders and colleagues across the region, using sound judgement, anticipating needs, and managing competing priorities to deliver high-quality outcomes under tight timeframes.
What you will be responsible for
Manage complex, frequently changing calendars for multiple senior executives, using sound judgement to prioritise meetings and protect executive time
Handle sensitive matters with discretion and strong judgement, collaborating across business lines and geographies
Prepare, coordinate, and distribute meeting materials independently and efficiently (daily, weekly, and monthly cadence)
Coordinate internal and external meetings, interviews, and video conferences, including room bookings and support for virtual meeting tools (Teams, Zoom, videoconferencing, etc.)
Plan and book cost-effective domestic and international travel itineraries
Prepare, submit, and reconcile expense reports using relevant systems
Use delegated manager tools and online systems (where permissions allow)
Support managers with new-hire onboarding logistics (workspace, technology, access, etc.)
Coordinate offsite meetings, leadership events, and team activities
Partner with Executive Assistants across the organization to ensure seamless coverage and consistent ways of working
Education & Preferred Qualifications
Associate degree from an accredited institution, or equivalent practical experience
6+ years experience as an Executive Assistant or in a senior administrative role within a corporate environment
Advanced proficiency across the Microsoft 365 suite, including Outlook, Word, Excel, and PowerPoint, with a strong focus on speed, accuracy, and quality, as well as effective use of tools such as Planner, Loop, and other collaboration solutions to streamline ways of working.

Highly organised with excellent follow‑up skills and the ability to manage multiple priorities simultaneously
Strong written and verbal communication skills, with high attention to detail and accuracy
Professional, thoughtful, forward‑thinking, and able to apply sound judgment in complex situations
Comfortable working under pressure and within tight deadlines
Trusted to handle confidential and sensitive information with discretion
Adaptable and responsive to changing priorities and responsibilities
Comfortable using AI-enabled productivity tools (e.g. Copilot) and advanced Outlook/Teams features to streamline work and improve efficiency
Positive, collaborative team player with strong interpersonal skills
