Role Overview Executive Assistant (EA)
As the Executive Assistant to the Chief Architect, you will be responsible for providing high-level administrative, operational, and strategic support to ensure the seamless execution of Vijit's daily schedule, communications, and business operations. The role requires exceptional organization, discretion, and efficiency, with the ability to handle dynamic tasks and coordinate with internal and external stakeholders.
Key Responsibilities
Administrative & Executive Support
Manage Vijit's calendar, appointments, meetings, and travel arrangements with precision.
Prepare and organize presentations, reports, and documentation for key business discussions.
Handle confidential communication and correspondence on behalf of the Chief Architect.
Act as a liaison between Vijit and internal/external stakeholders, ensuring smooth coordination.
Draft, review, and organize emails, memos, and business proposals.
Project Coordination & Research
Assist in monitoring ongoing golf course projects, ensuring alignment with deadlines and objectives.
Conduct research on new industry trends, technologies, and potential project opportunities.
Compile project updates, reports, and briefing notes for internal and client meetings.
Event & Meeting Management
Organize and schedule client meetings, industry networking events, and stakeholder engagements.
Take minutes and track action points from key meetings, ensuring follow-ups are completed.
Manage logistical arrangements for business trips, site visits, and conferences.
General Operations & Support
Support office operations, ensuring smooth day-to-day functionality.
Coordinate with vendors, suppliers, and service providers as needed.
Handle basic HR and administrative tasks, such as scheduling interviews and onboarding new hires.
Ideal Candidate Profile
Required Experience & Skills
0-2 years of experience as an Executive Assistant, Personal Assistant, or similar role.
Strong organizational, multitasking, and time management skills.
Exceptional written and verbal communication in English (Hindi is a plus).
Proficiency in MS Office Suite (Excel, Word, PowerPoint), Google Workspace, and calendar management.
Experience in managing confidential information with discretion and professionalism.
Ability to work independently, prioritize tasks, and handle fast-paced work environments.
Strong research and analytical skills, with attention to detail.
Previous experience in architecture, golf, real estate, or sports industry is an advantage.
Preferred Candidate Location
