Job Summary:
The Executive Assistant to the Director provides high-level administrative and operational support to the Director, serving as a primary point of contact and facilitating effective and efficient management of the Director's daily activities, communications, and priorities. Essential Duties and
Responsibilities:
1. Calendar Management and Scheduling: - Manage the Director's calendar, coordinating meetings, appointments, and travel arrangements - Prioritize and schedule appointments, meetings, and conferences based on importance and urgency - Ensure the Director is well-prepared for meetings by gathering necessary materials and briefing documents
2. Communication and Correspondence: - Act as the primary point of contact for the Director, handling incoming calls, emails, and inquiries - Draft and prepare correspondence, reports, presentations, and other documents as requested - Maintain effective communication with internal and external stakeholders on behalf of the Director
3. Information and Data Management: - Collect, organize, and maintain confidential and sensitive information, records, and files - Ensure the proper filing and retrieval of important documents and records
4. Meeting and Event Coordination: - Coordinate and make arrangements for meetings, conferences, and events - Prepare agendas, distribute materials, and take minutes during meetings as required
5. Travel Arrangements: - Coordinate and make travel arrangements for the Director, including flights, accommodations, and ground transportation - Prepare travel itineraries, documents, and coordinate with relevant stakeholders for seamless travel experiences
6. Project and Task Management: - Assist the Director in managing and tracking various projects, initiatives, and tasks - Coordinate with cross-functional teams and stakeholders to ensure timely completion of projects - Provide administrative support and follow-up on action items as needed
7. Other Duties: - Act as a liaison between the Director and other departments, executives, and external parties - Maintain a high level of professionalism, confidentiality, and discretion in handling sensitive information - Perform other ad-hoc duties and responsibilities as assigned by the Director
Qualifications and Requirements:
Education and Experience:
- Bachelor's degree or equivalent work experience
- Minimum of 5 to 9 years of experience as an Executive Assistant
- Excellent written and verbal communication skills - Strong organizational and time-management abilities
- Proficient in MS Office suite (Word, Excel, PowerPoint, Outlook)

- Exceptional attention to detail and problem-
solving skills
- Discrete, professional, and able to maintain confidentiality
- Excellent interpersonal skill
