Job Description

Role Overview

This is a high‑trust, fast‑paced role for someone who can operate as a true business partner — managing priorities, driving execution, coordinating with international teams, and using modern tools + AI to streamline workflows.

Not a traditional PA role — ideal for candidates with strong operations, coordination, documentation, and communication skills.

Key Responsibilities

  • Executive Assistant support to Directors (calendar management, scheduling, inbox coordination)
  • Meeting preparation, minutes, action tracking, follow‑ups
  • Cross‑border coordination with UK, India and international stakeholders
  • Translating high‑level instructions into structured tasks & deliverables
  • Project coordination and small workstream ownership
  • Managing documentation, presentations, reports, trackers and dashboards
  • Handling digital filing systems – Microsoft Teams, SharePoint, OneDrive
  • Using AI tools (Microsoft Copilot, ChatGPT, automation tools) for research & drafting
  • Vendor, consultant, and client coordination
  • Office operations support for the India and London team

Skills & Requirements

  • 2–6 years experience as Executive Assistant / EA / Personal Assistant / Operations Executive / Admin Executive
  • Excellent verbal & written English communication skills
  • Strong expertise in Microsoft Office 365 (Outlook, Word, SharePoint, Teams, Excel, OneDrive)
  • Familiarity with AI tools, automation software, Canva, ChatGPT, Microsoft Copilot
  • Experience in administrative support, calendar management, travel coordination, stakeholder communication
  • Ability to handle confidential information & work with senior leadership
  • Highly organised, proactive, detail‑driven, and process‑oriented
  • Comfortable working in a UK‑overlap shift if needed (approx. 12pm–8pm IST) Preferred Candidate Profile
  • Experience supporting Directors / Founders / CXOs
  • Experience in international coordination
  • Strong documentation, follow‑through, and task ownership
  • Tech‑savvy and comfortable learning new tools
