Overview

The Executive Assistant (EA) to the Principal plays a vital role in the effective functioning of the educational institution. This role is pivotal in providing high-level administrative support to the Principal, ensuring smooth communication and functioning of the school's daily operations. The EA acts as a liaison between parents, staff, and external stakeholders, all while maintaining a professional environment that fosters educational excellence. In addition to administrative tasks, the EA must demonstrate discretion and confidentiality, as they will often handle sensitive information. This position not only demands excellent organizational skills but also the ability to adapt to a dynamic work environment. The EA will manage schedules, organize meetings, and facilitate communication, allowing the Principal to focus on strategic leadership and educational priorities. Key Responsibilities

  • Manage the Principal's calendar and schedule appointments efficiently.
  • Coordinate meetings, including preparing agendas and taking minutes.
  • Serve as the first point of contact for inquiries directed to the Principal.
  • Communicate effectively with parents, staff, and external partners.
  • Prepare and organize documents for meetings and important events.
  • Handle confidential information with discretion and integrity.
  • Assist in the preparation of reports and presentations.
  • Monitor and respond to emails on behalf of the Principal.
  • Organize and coordinate school events and activities.
  • Maintain an organized filing system for documentation.
  • Coordinate travel arrangements and logistics for the Principal.
  • Oversee administrative tasks to support the Principal's initiatives.
  • Assist with budgeting and tracking expenses related to office operations.
  • Support the Principal in various projects as needed.
  • Pick-up and distribute mail, documents, and supplies.
  • Maintain office equipment and liaise with vendors for repairs and maintenance.

Required Qualifications

  • High school diploma or equivalent; associate's degree preferred.
  • A minimum of 2 years of experience in an administrative role, preferably in an educational setting.
  • Proficiency in office software (e.g., Microsoft Office Suite, Google Workspace).
  • Strong written and verbal communication skills.
  • Experience managing executive-level calendars and schedules.
  • Ability to work independently and prioritize tasks effectively.
  • Demonstrated problem-solving skills and critical thinking ability.
  • Knowledge of school administrative processes and protocols.
  • Familiarity with budgeting and financial tracking.
  • Exceptional interpersonal skills and the ability to build relationships.
