Job Summary

We are seeking a highly organized and proactive Executive Assistant (EA) to support senior leadership while managing key administrative functions. The ideal candidate will act as a trusted partner to executives by ensuring smooth daily operations, managing schedules, coordinating meetings, and handling administrative tasks efficiently.

This role requires strong organizational skills, discretion in handling confidential information, and the ability to multitask in a fast-paced environment.

Key Responsibilities Executive Support

  • Manage the executive's calendar, schedule meetings, and coordinate appointments.
  • Organize internal and external meetings, including preparing agendas and minutes.
  • Handle communication on behalf of the executive when required.
  • Coordinate travel arrangements including flights, accommodation, and itineraries.
  • Prepare presentations, reports, and documents for meetings.

Administrative Support

  • Oversee day-to-day office administration activities.
  • Maintain records, files, and documentation in an organized manner.
  • Coordinate with internal teams and external vendors.
  • Manage office supplies, inventory, and administrative budgets.
  • Support HR or operations with administrative coordination when required.

Coordination & Communication

  • Act as a liaison between senior management and internal/external stakeholders.
  • Ensure timely follow-ups on key tasks and deliverables.
  • Assist in organizing company events, meetings, and conferences.

Requirements

  • Experience: experience as an Executive Assistant, Personal Assistant, or Administrative Executive.
  • Excellent organizational and time-management skills.
  • Strong verbal and written communication skills.
  • Ability to maintain confidentiality and professionalism.
  • Proficiency in MS Office (Excel, Word, PowerPoint) and email management.
  • Ability to multitask and work under pressure.

Preferred Skills

  • Experience supporting senior leadership or directors.
  • Strong coordination and stakeholder management abilities.
  • Problem-solving mindset and attention to detail.
