About The Role
The Executive Assistant will provide comprehensive administrative, coordination, and operational support to the Head of Department (HOD). The role ensures smooth day-to-day functioning, effective stakeholder communication, and efficient management of schedules, meetings, and departmental priorities.
Key Responsibilities1. Administrative & Office Management
- Manage the HOD's calendar, schedule appointments, and coordinate internal and external meetings.
- Organize travel arrangements including tickets, hotel bookings, itineraries, and reimbursements.
- Maintain records, documents, and filing systems (physical and digital).
- Assist in organizing department events, business reviews, workshops, and offsite meetings.
2. Communication & Coordination
- Act as a single point of contact between the HOD and internal/external stakeholders.
- Draft, review, and respond to emails and correspondence on behalf of the HOD.
- Coordinate with cross-functional teams for follow-ups, approvals, and task updates to ensure timely closure.
3. Operational Support
- Support in managing departmental budgets, invoice processing, and purchase requisitions.
- Track project timelines, key deliverables, and follow up on action items assigned by the HOD.
- Assist with onboarding coordination for new joiners within the department.
- Provide end-user training and support for SuccessFactors modules and helpdesk tools.
Who Are We Looking ForEducation & Experience
- Graduate in any discipline.
- 2+ years of experience as an Executive Assistant (experience supporting senior leadership preferred).
- Prior experience in a corporate office environment is desirable.

- Proficiency in MS Office (Word, Excel, PowerPoint, Outlook).
