Executive Assistant Coordinator

Job Summary
We are seeking a highly organized and proactive Executive Assistant Coordinator to support our executive team in a fast-paced media agency environment. The ideal candidate will have 3–5 years of experience in a similar role and will be responsible for managing day-to-day operations, coordinating with various teams, and ensuring a smooth workflow.
Key Responsibilities
- Day-to-Day Operations: Oversee daily operations and manage invoicing processes to ensure timely payments and efficient financial tracking.
- Team Coordination: Collaborate with different teams to facilitate communication and ensure seamless workflow across departments.
- Calendar Management: Manage executives calendars, schedule meetings, and coordinate appointments to maximize productivity.
- Communication: Handle emails and other forms of communication on behalf of executives, ensuring timely responses and follow-ups.
- Meeting Management: Organize and prepare for meetings, including agenda creation, minute-taking, and follow-up on action items.
- Administrative Support: Provide general administrative support to the executive team as needed.
Requirements- Experience: 3–5 years of experience as an Executive Assistant or in a similar administrative role, preferably in a media or creative agency.
- Skills:
- Strong organizational and multitasking skills.
- Excellent verbal and written communication skills.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and other relevant software.
- Ability to maintain confidentiality and exercise discretion.
- Personality: Professional demeanor with a positive attitude and the ability to work well under pressure.
