Position: Executive Assistant (EA)

We're looking for a highly organized, proactive, and dependable Executive Assistant who can seamlessly support senior leadership, manage fast-moving schedules, coordinate across teams, and ensure smooth day-to-day operations. The ideal candidate should be detail-oriented, adaptable, and comfortable handling multiple priorities in a dynamic, high-pressure environment.
Key Responsibilities
Executive Support
- Manage complex calendars, schedule meetings, and coordinate appointments.
- Prioritize and manage incoming communication, including emails, calls, and meeting requests.
- Prepare agendas, presentations, reports, and briefing materials for meetings.
- Track follow-ups, action items, and ensure timely completion of key deliverables.
Coordination & Communication
- Serve as a key point of contact between leadership and internal/external stakeholders.
- Coordinate cross-functional meetings and ensure smooth communication across teams.
- Draft professional emails, notes, and internal communication on behalf of leadership.
- Handle confidential information with discretion and professionalism.
Travel & Logistics
- Arrange domestic and international travel, accommodation, and itineraries.
- Manage expense reports, reimbursements, and related documentation.
Operational Support
- Track business priorities, ongoing projects, and key deliverables.
- Support in preparing presentations, business reviews, and reports.
- Maintain organized records, documents, and filing systems.
- Assist with special projects and ad hoc tasks as needed.
Qualifications & Experience
- Bachelor's degree in Business Administration, Management, or a related field preferred.
- 3–7 years of experience as an Executive Assistant, Personal Assistant, or in a similar role.
- Prior experience supporting senior leadership or founders is preferred.
- Strong proficiency in Microsoft Office and/or Google Workspace.
