Job Description

We are hiring for Collective Creative Labs (CCL), part of the Collective Artists Network.

Position: Executive Assistant (EA)

Location: Mumbai / Delhi

Experience: 3–7 years

Industry: Media / Entertainment / Advertising / Creative Services

We're looking for a highly organized, proactive, and dependable Executive Assistant who can seamlessly support senior leadership, manage fast-moving schedules, coordinate across teams, and ensure smooth day-to-day operations. The ideal candidate should be detail-oriented, adaptable, and comfortable handling multiple priorities in a dynamic, high-pressure environment.

Key Responsibilities

Executive Support

  • Manage complex calendars, schedule meetings, and coordinate appointments.
  • Prioritize and manage incoming communication, including emails, calls, and meeting requests.
  • Prepare agendas, presentations, reports, and briefing materials for meetings.
  • Track follow-ups, action items, and ensure timely completion of key deliverables.

Coordination & Communication

  • Serve as a key point of contact between leadership and internal/external stakeholders.
  • Coordinate cross-functional meetings and ensure smooth communication across teams.
  • Draft professional emails, notes, and internal communication on behalf of leadership.
  • Handle confidential information with discretion and professionalism.

Travel & Logistics

  • Arrange domestic and international travel, accommodation, and itineraries.
  • Manage expense reports, reimbursements, and related documentation.

Operational Support

  • Track business priorities, ongoing projects, and key deliverables.
  • Support in preparing presentations, business reviews, and reports.
  • Maintain organized records, documents, and filing systems.
  • Assist with special projects and ad hoc tasks as needed.

Qualifications & Experience

  • Bachelor's degree in Business Administration, Management, or a related field preferred.
  • 3–7 years of experience as an Executive Assistant, Personal Assistant, or in a similar role.
  • Prior experience supporting senior leadership or founders is preferred.
  • Strong proficiency in Microsoft Office and/or Google Workspace.
