What you'll actually do
This is a hands-on operations role. You'll work closely with the CEO and leadership team to own the logistics that keep the business moving — bookings, travel, vendor coordination, and the day-to-day operational backbone. You're the person who makes sure nothing slips: every flight booked, every vendor paid, every meeting room ready, every reimbursement processed.
In practice, that means owning a mix of:
Bookings & travel
- End-to-end travel management for the CEO and leadership team — flights, hotels, cabs, visas, and itineraries
- Coordinating offsites, team trips, and client visits, including logistics, accommodations, and on-ground support
- Managing meeting rooms, restaurant reservations, event bookings, and venue sourcing
- Building preferred vendor lists for travel agents, hotels, and transport partners to get better rates and reliability
Operations & vendor management
- Owning vendor relationships — from office supplies and pantry to AMCs, courier services, and facility upkeep
- Processing invoices, tracking payments, and coordinating with finance on reimbursements and expense reports
- Managing office operations — supplies, equipment, repairs, housekeeping, and ensuring the workspace runs smoothly
- Coordinating with building management, security, and external service providers
CEO support
- Calendar management, meeting scheduling, and inbox triage for the CEO
- Travel briefs, itineraries, and on-trip support (timezone handoffs when needed)
- Coordinating personal bookings and errands as required
- Prepping logistics for meetings — agendas circulated, materials printed, refreshments arranged
Process & discretion
- Picking up ad-hoc operations projects — onboarding logistics for new hires, event planning, office moves
- Spotting broken workflows in bookings, expenses, or vendor processes and fixing them
- Handling sensitive information (travel plans, vendor contracts, expense data) with full discretion
- Maintaining clean records — booking trackers, vendor contracts, expense logs, reimbursement files
Who this is for
- 1–3 years of experience — EA, admin, office management, travel desk, or operations at a fast-paced company
- Early in your career but already the most organized and reliable person on your team
- You move fast, follow up relentlessly, and never let a booking or payment slip through the cracks
- You're energized — not drained — by juggling a flight rebooking, a vendor escalation, and an offsite plan in the same hour
- Comfortable with Google Workspace, Notion, and Slack (or quick to pick them up); familiar with booking platforms like MakeMyTrip, Cleartrip, or corporate travel tools
- Based in Bangalore, ready to work from office, and flexible on hours when travel or events demand it
Bonus points
- Prior startup experience, especially consumer or D2C
- You've managed travel or vendor operations for a founder or leadership team before
- You've negotiated rates with hotels, travel agents, or vendors and saved real money
- You've coordinated offsites, large team events, or complex multi-city travel independently
- Familiarity with expense management tools (Zoho Expense, Happay, Razorpay) or booking platforms
