Job Description

Experience Required- 4+ Years

We are looking for a highly organized and detail-oriented professional to manage Calendar, Travel, and Administrative responsibilities for senior leadership.

This role requires strong coordination, confidentiality, and the ability to manage multiple priorities seamlessly.

Key Responsibilities:

1. Calendar Management

* Manage and update daily, weekly, and monthly schedules

* Coordinate internal and external meetings (including with clients)

* Resolve scheduling conflicts and prioritize effectively

* Ensure meeting readiness (agendas, reminders, materials)

* Optimize time with focus blocks and buffer periods

* Maintain confidentiality of sensitive schedules

2. Travel Management

* Plan end-to-end travel itineraries (domestic & international)

* Book flights, hotels, and transportation as per company policy

* Negotiate rates and ensure cost-effective bookings

* Manage travel documentation (visas, insurance, boarding passes)

* Provide real-time travel support during trips

* Coordinate with vendors, agencies, and internal stakeholders

* Ensure compliance with travel policies and manage expenses

3. Administrative Responsibilities

* Oversee day-to-day office operations for leadership

* Manage communication (emails, calls, correspondence)

* Maintain and organize documentation (OneDrive & physical)

* Coordinate meetings, events, and conferences

* Support client/visitor interactions and logistics

* Assist in financial tracking, vendor coordination, and procurement

* Provide HR support (interviews, employee data, engagement activities)
