Job Description: Executive Assistant to the CEO

Location: Bangalore

Experience: 5-10 Years

Overview:

We are seeking a highly organized, proactive, and efficient Executive Assistant to support and report to the CEO. The ideal candidate will be an experienced professional with exceptional interpersonal skills and a keen ability to manage multiple high-priority tasks. This individual will play a key role in managing the CEO's calendar, travel arrangements, and overall daily activities. They will also serve as a key liaison between the CEO and stakeholders both internally and externally.

Key Responsibilities:

Calendar and Scheduling Management:

  • Prioritize, manage, and maintain the CEO's calendar by scheduling meetings, calls, and appointments, ensuring that time is used effectively.
  • Coordinate internal and external meetings, ensure all logistics are handled seamlessly, and provide necessary pre-meeting materials to the CEO.

Stakeholder & Global Collaboration:

  • Serve as the primary point of contact for internal and external stakeholders, managing relationships across various departments.
  • Coordinate communication across time zones to ensure efficient collaboration.
  • Proactively gather and share information with internal and external teams globally.

Travel Management:

  • Organize comprehensive travel plans for the CEO, including coordinating flights, accommodation, and transportation, while ensuring optimal travel arrangements and itineraries.

Ad-hoc Responsibilities:

  • Manage and update calendars for high-level events, conferences, and internal strategy meetings involving the ELT and other senior stakeholders.
  • Collaborate with HR and Administration teams to support ad-hoc requirements such as event coordination, meeting scheduling, and travel arrangements for ELT members.
  • Manage any other day-day operational activities for the CEO

Qualifications:

  • Bachelor's degree is a must; master's degree is preferred.
  • 5-10 years of experience as an Executive Assistant or in a similar role, ideally supporting senior executives or the CEO.
  • Strong organizational, multitasking, and prioritization skills.
  • Excellent communication skills, both written and verbal.
  • Strong experience working with global stakeholders, particularly in the US, with an understanding of cross-time zone collaboration.
  • Proficiency in Microsoft Office Suite (Outlook, Excel, PowerPoint, Word).
  • Strong attention to detail and commitment to high-quality work.
  • Experience in managing C-level executives & stakeholder relationships.
