Job Description

Summary:

The main function of an Executive Administrative Assistant is to provide high-level administrative support by conducting research, handling information requests, and performing clerical functions. A typical administrative assistant acts as an information and communication manager for an office.

Responsibilities:

  • Provide strategic calendar management for senior leaders, ensuring alignment with business priorities and optimizing executive time.
  • Manage domestic and international travel logistics, including itineraries, client coordination, accommodations, and executive travel support.
  • Drive Rhythm of Business (ROB) processes, including leadership meetings, town halls, business reviews, offsites, and executive engagements.
  • Coordinate and manage executive visits, customer engagements, worker Briefing Center (EBC) sessions, and leadership events.
  • Partner with Finance on budget planning, expense management, purchase requests, and spend governance.
  • Support organizational planning activities including onboarding, team events, space planning, and resource coordination.
  • Facilitate communication and collaboration across leadership teams, business partners, and support functions.
  • Maintain the highest standards of confidentiality, professionalism, and compliance in handling sensitive business information.
  • Track actions, decisions, and follow-ups arising from leadership meetings and strategic programs.
  • Drive process improvements and operational efficiencies across executive office activities.

Requirements:

  • High school diploma or GED required.
  • 10 years of experience required.
  • Experience working with executives required.

Required Skills:

  • Verbal and written communication skills, multi-tasking, customer service skills, and interpersonal skills.
  • Expert ability to work independently and manage one&rsquos time.
  • Expert ability to keep information organized and confidential.
  • Expert ability in event planning, budgeting, etc.
  • Expert leadership and mentoring skills necessary to provide support and constructive performance feedback.
  • Previous experience with computer applications, such as Microsoft Word, Excel, and PowerPoint.
