Summary:
The Executive Assistant provides comprehensive support to the CEO, ensuring efficient operation of the executive office. This role requires strategic calendar management, coordination of complex travel arrangements, and handling of sensitive and confidential information with the highest degree of integrity.
Responsibilities:
- Directly support with strategic calendar management based on a deep understanding of business and executive needs.
- Coordinate with Executive Travel for accommodations, transportation, and security arrangements.
- Utilize a vast internal/external network to support the executive leader's work and the Company's charter.
- Drive strategic oversight and direction for discipline development within the Business Support community.
- Provide strategic oversight into event vision and outcomes, maintaining fiscal responsibility.
- Demonstrate executive presence, encourage excellence, and set a foundation for success.
- Raise and manage the operational budget including T&E management, monitoring, and pre-approvals for team expenses.
Requirements:
- Proven experience as an Executive Assistant or similar role.
- Exceptional organizational and time-management skills.
- Strong communication and interpersonal abilities.
- Discretion and confidentiality of the highest order.
- Proficiency in Office Suite and other business tools.
Required Skills:
- Excellent communication in both written and spoken English. Flexible, creative, adaptable with a communication style to suit various audiences. Confident to work with ambiguity.
- Strong organizational skills, structured and planned, with the ability to manage small initiatives.
- Confident in working with ambiguity.
Preferred Skills:
- Creative in approach to create messages and visuals that simplify and amplify executive messaging.
- Previous work experience with 5-7 years in a similar role in Software, IT environment, Financial services, or Technology departments.
- Independent and proactive in reaching out to multiple individuals to collate inputs from multiple parties.
- Curiosity and confidence to engage with new people. Desire to learn and understand key business contents to communicate more effectively.
