Job Description

Location: Bommasandra Industrial Area, Bengaluru

Experience: 2–5 Years. Prior experience in administration and facility management, preferably in a manufacturing, engineering, or technology environment, is highly desirable.

Qualification: Graduate in any discipline

Languages: English, Kannada & Hindi (Mandatory)

About the Role

We are looking for a hands-on, proactive, and dependable Administration & Facilities Executive to manage the day-to-day administration, facility operations, workplace infrastructure, employee amenities, support services, and compliance requirements of our engineering and manufacturing facility of 40,000 sqr ft area. The role requires an individual who can independently manage facility operations, lead support teams, coordinate vendors, and ensure a safe, clean, efficient, and employee-friendly workplace environment. The role also involves maintaining administrative records and reports, coordinating with internal stakeholders and external service providers, and supporting continuous improvements in administrative processes.

Key Responsibilities

* Manage end-to-end administration and facility operations of the organisation, and coordinate front-office operations

* Supervise housekeeping and security personnel, including attendance, shift deployment, manpower planning, performance monitoring, and service quality.

* Ensure cleanliness, hygiene, safety, and upkeep of the entire office areas, engineering labs, stores, production, meeting rooms, boardrooms, cafeteria, pantry, washrooms, recreation areas, parking areas, and common facilities.

* Coordinate electrical, plumbing, civil, HVAC, DG set, utility, repair, and maintenance activities and ensure timely closure of facility-related issues.

* Manage cafeteria, pantry, employee amenities, recreation facilities, indoor games, health of indoor plants and workplace experience initiatives.

* Coordinate with building management for lifts, parking, common areas, utilities, security arrangements, and infrastructure-related requirements.

* Manage facility vendors, contractors, AMCs, quotations, service providers, and maintenance agencies while ensuring cost-effective and quality service delivery.

* Maintain and track facility-related assets including furniture, workstations, chairs, keys, access cards, pantry equipment, recreation assets, and common-use infrastructure.

* Conduct periodic asset verification, inventory checks, repairs, replacements, and asset audits.

* Manage logistics support, courier services, travel arrangements, visitor management, customer visits, management meetings, and company events.

* Maintain facility records, statutory registers, contractor documentation, compliance records, maintenance logs, and audit-related documentation.

* Ensure compliance with applicable administration, facility, safety, contractor, and workplace management requirements.

* Proactively identify and resolve operational issues before they impact employees, visitors, customers, or business operations.

Mandatory Requirements:

* Proven experience handling housekeeping and security teams directly.

* Experience in facility maintenance coordination involving electrical, plumbing, civil, HVAC, utilities, and infrastructure-related work.

* Experience in vendor management, contractor management, AMC administration, and service provider coordination.

* Experience in cafeteria, pantry, employee amenities, asset management, inventory control, and workplace administration.

* Working knowledge of administration and facility-related compliance requirements, statutory records, contractor documentation, and audit coordination.

* Ability to communicate effectively in Kannada, English, and Hindi.

* Proficiency in MS Office and administrative documentation.
